Blum & Poe Los Angeles seeks a Gallery Administrator to begin immediately. The ideal candidate must be highly organized, motivated, and capable of multi-tasking.

Greet clients and other gallery guests
Maintain front-of-house appearances
Maintain calendars, contact list in database updated, and supplies in stock
Handle all incoming phone, voicemail, and guest messages ensuring that all messages are notated and delivered to the appropriate parties
Execute thorough opening and closing procedures of gallery ensuring the highest levels of safety and security
Receive general vendors, part-time staff, security, and maintenance workers; communicate with gallery staff regarding arrivals
Sort mail; arrange and accommodate general small incoming and outgoing shipments
Conduct routine administration and upkeep of general email inbox; triage messages to the appropriate staff member
Help maintain gallery organization, filing documents, and general paperwork
Order general office supplies as needed
Research and book travel and accommodations
Provide day-to-day executive assistance to owners and directors.
Assist the exhibitions team in preparing for exhibitions
Assist with online bookstore maintenance and updates and orders
Assist the Facilities and Events Coordinator with special events and private dinners
Bachelor’s degree in Art History, Studio Art, or related field
Knowledge of FileMaker Pro / Artbase, InDesign, Photoshop, and Microsoft Office Suite is preferred.
Self motivated, trustworthy and responsible
Candidate must be extremely organized, detail oriented and possess exceptional communication and interpersonal skills
Multitasking is expected, and basic and complex tasks should be attended to with equal diligence and attention
Ideal candidate is open-minded and able to work well in a fast paced, high-pressure environment, as well as independently and efficiently on their own.
Prior experience working in a contemporary art gallery, museum, or artist’s studio for a minimum of one year is strongly preferred
Strong professional ethics, discretion, confidentiality, and sound judgment
