Luxembourg & Dayan is seeking a professional, energetic, and self-motivated Gallery Assistant/Assistant to Founder to join Luxembourg & Dayan, New York gallery starting in January 2020.

Responsibilities
  • Assist with daily gallery operations, including ensuring that the gallery and private office spaces are open and ready for presentation every day

  • Interface with clients and the public by answering phones, greeting visitors, monitoring gallery email account, and drafting correspondence for founder and principals

  • Maintain a current website and phone message greeting

  • Provide gallery administrative support by ordering supplies and managing incoming and outgoing mail/packages

  • Manage founder’s calendar, book and confirm appointments, RSVP to events, organize calls, make reservations, plan all aspects of business travel

  • Assist with other principals’ appointments and reservations as needed

  • Create gallery exhibition lists for New York City and abroad, as well as organize art auction tickets and international fair passes, and plan for other event attendance

  • Aid all staff in conducting art research and auction result research, as well as drafting and preparing materials for sales outreach ahead of exhibitions, fairs, and for private sales

  • Fulfill catalogue orders online and in person

  • Regularly update and maintain contact and artwork database and organize digital and physical files

  • Assist with event planning for exhibition openings and dinners by organizing all reception vendors, venues, and security staff

  • Handle all gallery maintenance (in-house and outside contractors)

  • Troubleshoot IT issues and liaise with IT company

Requirements

The ideal candidate will be a creative thinker and problem-solver with exceptional attention to detail and a strong interest in postwar and contemporary art. The candidate will be able to manage time efficiently and prioritize projects in a fast-paced environment. The individual will be a pro-active, motivated team-player who is responsible and engaged within a small work environment. The candidate will have strong professional ethics and operate with integrity and discretion. Foreign language skills are useful though not required.

This is a full-time position, Tuesday – Saturday 9am to 5pm (with some late nights for openings, during auction season, etc.). The position will transition to a Monday – Friday schedule when there are no exhibitions on view. Compensation, including benefits, are competitive and commensurate with qualifications and experience.
