A contemporary art gallery in Los Angeles seeks a Gallery Assistant for a permanent 35-hour a week commitment. We are seeking a highly motivated individual to work under the Director in support of the gallery’s program and operations. This will be a heavily administrative position including executive support responsibilities with touch points into multiple areas of the business, including office and front desk management, archivist duties, administrative support related to artists and sales, and event organization. The successful candidate must be able to manage high pressure situations, and a variety of personality types while juggling multiple ongoing projects according to shifting priorities. Looking for someone who wants to learn, with excellent organizational and executive functioning skills above all else. For someone who thrives in the role, there are multiple potential growth tracks within the gallery, long term.

Responsibilities

Gallery Operations

  • Order supplies

  • Ensure the gallery is well maintained including the coordination of any necessary repairs

  • Open and close gallery

  • Greet visitors and oversee front desk

Archives

  • Maintain the image archive and coordinate photography of works

  • Archive press on Dropbox and post to the gallery website

Gallery Administration

  • Assist in maintaining up-to-date artist bios and CVs

  • Maintain Dropbox and gallery calendars

  • Prepare checklists, previews, and other exhibition or sales materials

  • Update Artsy with new artworks

Events

  • Coordinate gallery events, including opening receptions and dinners

  • Place orders and act as primary contact for vendors

EA Support

  • Assist the principal and director with scheduling, correspondence, and routine administration

  • Coordinate itineraries and book travel for the principal and director

Requirements
  • 1 year of experience in an administrative or assistant role within a gallery, museum or comparable arts related organization

  • A bachelor’s degree in Art History, Humanities, or a South Asia-related field

  • Experience supporting senior leadership with calendar management and travel planning

  • Exceptional multi-tasking skills with the ability to anticipate needs and manage multiple priorities

  • Strong attention to detail and experience managing upwards in a fast-paced environment

  • Excellent written and verbal communication skills, with the ability to collaborate across departments

  • Familiarity with software and platforms including Artlogic, Google Suite/Microsoft Office; someone comfortable with using and learning new technology required
