Gallery Assistants act as the first point of contact for all visitors entering the gallery and must possess a calm, welcoming demeanor. Gallery Assistants will be asked to take on a range of tasks to aid in the overall success and efficiency of the gallery. Persons in this position should be extremely organized and should be able to manage multiple tasks simultaneously.

Status: Full-Time/Permanent/Salaried

Responsibilities
  • Answer incoming calls, return voicemails, and manage inboxes.

  • Provide general administrative support to Directors and Managers.

  • Update inventory and contacts on collections management software.

  • Assist in travel accommodations for staff and artists.

  • Track and order office and kitchen supplies.

  • Maintain the appearance of the gallery and office space.

  • Update exhibition materials such as artist CVs, checklists, mailing lists, and press materials.

  • Plan exhibition opening receptions.

  • Assist in the organization of an interoffice calendar.

  • Coordinate all incoming and outgoing mail.

  • Correspond with artists, clients, and vendors on behalf of senior administrative staff.

Requirements
  • A Bachelor’s Degree in Art History, Fine Art, Cultural Studies or a related field.

  • Candidates should possess excellent written and verbal communication skills, a precise attention to detail, and a strong independent work ethic.

  • Foreign Language Skills and familiarity with ArtBase collections management software are a plus.

  • An ability to treat sensitive information with appropriate discretion.
