GALLERY COORDINATOR
Monday–Friday (Full-time, exempt)
David Kordansky Gallery seeks a highly motivated, extremely organized, and team-oriented individual to fill the position of Gallery Coordinator. The Gallery Coordinator is a critical role, responsible for supporting a range of significant functions of the gallery management team, including oversight of the front desk staff, events and programming, facilities and security, and office administration. This position is a full-time role, Monday through Friday, and may require flexibility for additional hours based on the needs of the gallery. A competitive benefits package is also offered.
Primary Responsibilities:
Management of front desk staff, including scheduling
Maintain an efficient, organized, and streamlined office environment, including monitoring supply levels and recommending best practices
Coordinate all exhibition opening receptions, including staffing, rentals, and supplies
Coordinate all artist dinners, gallery programming, and other special events, including location / vendor sourcing as well as managing budgets, guest lists, and seating charts
Update VIP contact lists, including data input and organization
Adhere to and update all gallery administration manuals and protocols
Assist in the maintenance of staff calendars and organizational spreadsheets
Oversee the gallery’s facility maintenance vendors, including anticipating issues, scheduling repairs, and processing invoices
Monitor all facility and building security measures
Liaise with the gallery’s IT consultant for all office technological needs
Oversee the design (template-based) and printing of the gallery’s identity materials
Qualifications:
Knowledge of contemporary art and experience working at a contemporary art gallery required
Bachelor’s degree in studio art, art history, or related field required
At least two (2) years of professional experience as a gallery manager or related administrative position required; four (4) years of management experience preferred
Interest in event planning, hospitality, and VIP engagement, with at least two (2) years of professional experience required
Advanced computer and technological skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets); Microsoft Office Suite (Word, Excel, PowerPoint); Adobe Creative Suite (Acrobat and Photoshop); knowledge of InDesign

Intermediate knowledge of databases such as ArtBase / FileMaker (or similar) preferred
Highly detail-oriented, editorially minded, and precise, with exceptional organizational skills
Enjoys project management; can complete tasks with persistence, patience, and discretion
Adept at creative problem-solving, anticipating and resolving issues quickly
Excellent verbal and written communicator
Ability to work successfully in a fast-paced, deadline-driven environment
Extremely self-motivated, responsible, and efficient
Fluent in English; fluency in an additional language welcomed
