Make Room is a rapidly growing gallery in Hollywood with international outreach. The small staff setting will provide the candidate with a multi-layered gallery experience with room to grow.

Ideal candidate will be extremely detail-oriented, highly organized, and a talented communicator who thrives in a fast-paced environment. Proven experience with domestic and international shipping, customs brokers/freight forwarding, packing methods and fine arts insurance is essential.

Responsibilities

Exhibitions

Manage installation and de-installation logistics, planning and scheduling for gallery and private warehouse

Facilitate necessary loan and/or consignment paperwork with artists and lenders

Ensure and manage insurance certificates and bonds

Ensure packing, handling and installation standards and protocols are met, as set by artist or lender

Diagnose conservation and/or framing as needed, and liaise with vendors

Shipping and Handling:

Coordinate and track internal and external movement of artwork for the gallery

Manage all logistics related to artwork for gallery projects, on- and off-site exhibitions and sales

Generate paperwork associated with the movement of artwork, including incoming and outgoing receipts, consignments and loan agreements

Plan and manage installation and shipping needs for exhibitions, fairs, commissions, and sales.

Oversee and archive shipping documents, including bills of lading and customs paperwork.

Coordinate all aspects of local, domestic, and international packing, shipping, and installation.

Client Relations:

Manage consignment contracts with other galleries and clients, alerting relevant staff to expiring agreements and updating them as needed.

Arrange for safe and timely delivery of client purchases.

Inventory Management:

Oversee all aspects of the gallery and privately owned art inventory.

Conduct regular inventory audits and synchronize findings in the database.

Define the protocol for packing, storage, and shelving for all objects.

Regularly perform condition reports and identify conservation needs for artworks.

Maintain the inventory database - add new records, artwork data, and update locations.

Handle all incoming/outgoing receipts and paperwork for all locations.

Manage insurance needs for all locations; adhere to yearly art insurance standards and requirements.

Manage artist press, documents, and archives.

Research and verify the provenance and exhibition history for artworks.

Requirements
  • BA/BFA/MA in Fine Arts, Art History or Art Administration-related is preferred.

  • Minimum three (3) year combined experience working at an art gallery, museum, auction house, or artist studio. Previous registrar experience required.

  • Knowledge of proper handling, packing, storage and installation techniques for furniture, lighting, design, and art.

  • Strong computer skills. Proficiency in MS Office (particularly with Mac OS X, Microsoft Office Suite, and Google Apps), and Adobe Photoshop and InDesign, experience with video editing is a plus)

  • Experience with Quickbook and Art database is a plus

  • Excellent verbal and written communication skills in English; proficiency in Chinese or Korean is a plus

  • Ability to work collaboratively and independently

  • Superior organizational skills with ability to prioritize, multi-task, and work under pressure to meet deadlines

How to Apply

The position is Tuesday - Saturday, 10 AM - 6 PM, with occasional evening commitments. The position starts immediately. Compensation commensurate with experience, benefits package including healthcare, and paid vacation, which increases with tenure.
