  • Compensation: $20.00 - 23.00/hour DOE

  • Shift/Hours: Monday – Friday 9:00am – 5:00pm, must be able to work occasional evenings

Responsibilities

Here is what you will get to do:

ESSENTIAL FUNCTIONS: (Under direction of supervisor)

  1.  Maintain accurate and organized personnel records, ensuring compliance with applicable laws and internal policies. 
    
  2.  Process employee-related documentation, including recruitment, onboarding, offboarding, changes, and status updates into the HRIS system and employee files. 
    
  3.  Support the full recruitment cycle by drafting job ads, posting job openings, coordinating candidate communications and interview scheduling, preparing offer letters, and facilitating a smooth onboarding experience for new hires.
    
  4.  Coordinate offboarding activities, including communication with staff, processing final paperwork in the HRIS system, and ensuring a positive transition experience. 
    
  5.  Administer the employee recognition program Nectar to promote a culture of appreciation and positive workplace morale. 
    
  6.  Coordinate and support the staff-led Social Committee in planning and coordinating employee activities, celebrations, and engagement initiatives. 
    
  7.  Assist in organizing and executing organization-wide events, including quarterly employee meetings, annual gatherings, trainings, and workshops. 
    
  8.  Oversee the Scottsdale Arts Internship Program, including coordination with division leaders, interviewing interns, onboarding, and acting as a liaison between interns and their departments. 
    
  9.  Maintain oversight of the Maricopa County Trip Reduction Program (TRP) and assist with other compliance reporting and requirements. 
    
  10. Provides administrative support to the HR Department, including preparation of correspondence, reports, and other documentation.

  11. Assist with ordering supplies, maintaining HR files, and supporting special projects as needed.

  12. Operate as Event Pro Coordinator for HR Department and Executive team.

  13. Greets external and internal customers with professionalism and courtesy, conveys information and answers general questions about Scottsdale Arts events and performances. Directs visitors as needed.

  14. Processes mail (incoming and outgoing) and maintains the mail room order.

  15. Performs other duties as required.

Requirements

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   1.  Education: Bachelor’s degree in HR, Business Administration, or related field or equivalent combination of education and HR experience considered.
    
  2.  Experience: Minimum 2 years’ experience in office, clerical, administrative, or human resources position. 
    
  3.  Attributes:
    
  • Strong interpersonal skills with the ability to build trust, maintain the highest levels of confidentiality, and foster positive relationships across all levels of the organization.

  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.

  • Working knowledge of employment laws, HR best practices, and HRIS systems (experience in Paylocity or similar platform preferred)

  • Strong written and verbal communication skills, with the ability to handle sensitive matters professionally and diplomatically.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

  • Proficiency in Microsoft Office Suite, Adobe, SharePoint. Experience with engagement platforms like Nectar, scheduling platforms like EventPro, and Project Management software like Asana preferred.

  • Ability to forecast schedule to meet the needs of the organization or departments served; plan for recurring events and project needs to ensure that departments run smoothly

  1.  Work Environment: Must be able to stand and walk for short periods of time; sit for long periods of time; use hands to finger, handle, or feel; reach with hands and arms; occasionally stoop, kneel, crouch or crawl; talk and hear. Must be able to occasionally lift up to 25 pounds.  Specific vision abilities include close vision, distance vision, and peripheral vision. Specific hearing abilities include ability to hear over phone and in person.
    
  2.  Other requirements:
    
  • Must possess valid driver’s license and driving record which is acceptable to the organization’s insurance carrier.
