ABOUT THE POSITION

The Kitchen seeks an Institutional Advancement Coordinator (IAC) to assist with The Kitchen’s broad fundraising efforts and implementation of strategies that will enable the organization to meet its contribution-based goals. The IAC will report to the Director of Development, and in collaboration with the Institutional Advancement & Special Projects Manager, will support in all areas of The Kitchen’s fundraising efforts and institutional advancement goals. This includes a range of development activities and administration, such as prospects research, CRM and database management, assistance with special events, acknowledgment tracking and drafting correspondence and individual proposals. The candidate must possess exemplary writing and communication skills to convincingly convey The Kitchen’s art-centered mission to potential funders.

Through and beyond The Kitchen’s current renovation period, the IAC must be equipped to think broadly and innovatively about The Kitchen’s artist-centered mission. The candidate must be comfortable working in a collaborative, experimental, and culturally diverse setting and possess the openness, flexibility, and diplomacy required for meaningful collaboration with contemporary artists. Innovative and outstanding communication, writing, and research abilities are celebrated.

Responsibilities

RESPONSIBILITIES:

  • Reporting to the Director of Development and collaborating with the Institutional Advancement & Special Projects Manager, the Institutional Advancement Coordinator will assist in administrative tasks related to The Kitchen’s fundraising effort and maximize its fundraising potential.

  • Attend weekly development meetings and help the Institutional Advancement & Special Projects Manager maintain a pipeline of tasks and priorities according to set deadlines. Ensure notetaking of action items and work with the team to set clear deadlines for next steps.

  • Assist with scheduling meetings for the Development staff, prospects, collaborators, and key stakeholders. Maintain internal Development calendars and be responsible for follow-ups and email correspondence related to scheduling both internally and externally.

  • Assist with all admin tasks related to The Kitchen’s annual spring gala event, as well as monthly patron events. Track all events attendance, liaise with vendors, and provide day-of assistance for live programs.

  • Collaborate with the Capital Campaign Director and assist with pledge tracking and invoicing, as well as drafting proposals and printed/digital ephemera.

  • Assist the Grant Manager with research, compiling data, and creating preliminary drafts for institutional grant applications and reports.

  • Support the organization’s development operations, including database management and record entry and organization, drafting and copy editing outreach and proposals, and ensuring fundraising materials and templates are current to The Kitchen’s Brand Guidelines. Conduct prospect research using The Kitchen’s donor research database.

  • Create acknowledgement letters for all donations, grants, and gifts to The Kitchen. Update internal trackers with incoming gifts and actions as specified by Development staff, and stay on top of the department’s moves management tracker.

  • Maintain The Kitchen’s philanthropic records including creating gift transmittals and mailing acknowledgments for institutional grants, individual gifts, and capital campaign contributions. Maintain gift entry of all received grants in our CRM (Audience View), and ensure accurate donor recognition and acknowledgments on listings and related print material.

  • Answer phone calls and provide wayfinding for potential and existing partners, stakeholders, and community members looking to support The Kitchen.

  • Perform other fundraising projects and institutional advancement duties as requested.

Requirements

EDUCATION, EXPERIENCE, AND SKILLSETS:

  • At least one year of experience in working in a fundraising related field, or working in gallery assistance, museum or non-profit work, or internships with administrative responsibilities

  • Strong writing and research skills, as well as excellent organizational skills, critical diplomacy, attention to detail, responsible to timelines and key dates or deadlines, and ability to format and produce documents according to a style guide

  • Vested interest in working for a nonprofit arts organization with an avant-garde and experimental mission

  • Self-directed with a proven ability to adhere to layered and simultaneous deadlines, plan ahead, and work independently when needed

  • Ability to manage multiple projects at once and handle confidential information

  • Proficiency in MS Office Suite and knowledge of donor databases

  • Bachelor’s degree required

  • Receptivity to a work schedule that sometimes will involve evenings and weekends as tied to institutional programming

Starting salary will be commensurate with experience, within a range of $45,000-$50,000. This is a full-time position at 40 hours/week and includes medical, vision, and dental insurance, commuter benefits, a 403(b) savings plan and paid time off. The position is exempt according to the Fair Labor Standards Act.
