Lehmann Maupin New York is seeking an experienced, highly motivated, full-time Registrar & Inventory Manager to join our team. This is an opportunity to be a key member of a dynamic and creative team, working directly with gallery leaders and a wide list of internationally renowned artists.

Reports to: Head Registrar, Director of Exhibitions

Responsibilities

Areas of responsibility will include:

  • Enters, manages, and updates all inventory records in ArtBase

  • Revises and reconciles records based on inventory control with studios and storage

  • Performs physical inventory control checks and condition reports

  • Manages creation and tracking of Certificates of Authenticity

  • Coordinate domestic and international shipping for museums, the gallery, it’s artists, and it’s clients

  • Work closely with all gallery departments to ensure quick, efficient and safe art movement

  • Work closely with the registrar team to manage our extensive storage and database

  • Ensure that all artwork is labeled appropriately and that the inventory system is updated accurately

  • Maintain a database of customs paperwork, and closely monitor expiring customs paperwork to ensure that the appropriate action is taken

Requirements
  • Proficiency with ArtBase, Microsoft Office and Google Drive

  • Mac proficiency

  • Positive, self-motivated, a team player with excellent time management skills

  • Understanding of industry best practices for the handling, packing, shipping, and conservation of contemporary art

  • Excellent phone and email demeanor

  • Highly organized, punctual, and detail-oriented

  • Strong ability to prioritize, meet deadlines, and create clear and organized schedules

  • Must be able to handle multiple tasks and projects in a fast-paced, high-pressure environment

  • Familiarity with worldwide art shipping and customs regulations

  • A minimum of 3 years experience at a contemporary art gallery or fine art shipping company, in a majority of the above responsibilities.

  • Financially oriented with the ability to generate and adhere to budgets

*Currently we are on a rotating schedule with roughly half time from home and half time in the gallery. We are socially distanced at work and are strictly adhering to all CDC guidelines for the workplace during COVID.
