This position is responsible for overseeing the museum’s membership program and assisting with public programming and special events for the IAIA Museum of Contemporary Native Arts. The Membership and Programs Administrative Assistant will be responsible for daily membership tasks such as preparing membership letters, maintaining member gift records and files, coordinating mailing lists, and developing and implementing member specific programming. This position will also support MoCNA Senior Museum Education Manager for all special events and educational and public programming such as exhibition openings and closings, artist and curatorial talks, panel discussions, film screenings, festivals, conferences, in-school and after-school programming, as well as virtual programming.

Responsibilities
  • Assist in developing strategic membership plan for the museum and revise the plan as needed to coincide with the museum’s strategic priorities.

  • Provide monthly reports on membership activities, not limited to Raiser Edge reports, which includes tracking of ads, response inquiries, etc.

  • Collaborate closely with the Senior Education Manager and Finance and Administrative Coordinator to ensure accurate recording of membership info into Raisers Edge.

  • Responsible for all monthly membership card mailings such as acknowledgement and renewal letters and will serve as contact for museum’s membership program.

  • Responsible for all museum gift entries into Raisers Edge.

  • Assist Senior Education Manager in planning and managing special events, sometimes in collaboration with other vendors and venues as well as several departments at the Institute of American Indian Arts (IAIA). Planning includes coordinating event details and aspects such as seating, catering, contracts, developing the RSVP list, etc.

  • Assist with travel arrangements for museum guests (artists, panelists, workshop facilitators, etc.) by booking travel accommodations, creating itineraries, and corresponding with these guests.

  • Assist Senior Education Manager with the Social Engagement Artist Residency.

  • Assist Senior Education Manger with developing and implementing educational programming which includes developing art kits, facilitating in-school and after-school workshops and activities, and corresponding with teachers and school staff.

Requirements
  • Bachelor’s degree or equivalent.

  • Excellent verbal, written, and proofreading skills.

  • Knowledge of Raiser’s Edge required.

  • Knowledge of Mailchimp or other email marketing software.

  • Strong, proficient use of Microsoft Word, Excel, PowerPoint as well as social media platforms.

  • Knowledge of direct mail strategies.

  • Highly organized, thorough, and detail oriented.

  • Organizational and time management skills.

  • Familiarity with graphic design techniques.

  • Prior experience in developing promotional materials such as brochures, fact sheets, newsletters, and press releases.

  • Strong interpersonal skills in dealing with constituents, students, faculty, and staff.

  • Ability to work unsupervised, reflecting initiative and flexibility in starting projects and bringing projects to successful conclusions in a timely manner.
