Office Administrator Job Summary:

At Dyson & Womack, we work across diverse projects with public and private clients throughout the creative industry. As an Office Administrator, you will operate with integrity, transparency, and resourcefulness; supporting our clients and the diverse communities and artists with which we work.

An ideal candidate will be an organized and motivated individual, passionate about art, who will work alongside the team in many aspects of day-to-day operations. Reliability and attention to detail are critical along with an interest in the arts and a professional demeanor. This position is a great opportunity to gain deep exposure and experience in the arts and art-making.

Responsibilities

Office Administrator Duties & Responsibilities:

Office administration and communication

General office administration tasks, including email and visitor correspondence;

Maintain office supplies and organization;

Manage team calendar, coordinate meetings, and travel arrangements;

Organize and keep up to dates files, both physical and digital; and

Prepare company documents and marketing materials using approved templates.

Studio support

Manage set up of new building amenities, including internet, security, and more.

Coordinate the transfer, purchase, and delivery of workshop equipment.

Organize health and safety compliance in the new workspace, including maintaining manuals, notices, and training records.

Accounting and bookkeeping

Handle basic accounting tasks, such as processing Accounts Receivable (AR) and Accounts Payable (AP).

Prepare client invoices and track outstanding payments.

Light bookkeeping under the direction of the Operations Manager, including expense tracking by project codes.

Social Media

Maintain the social media calendar and assets.

Ensure regular posts are approved and scheduled.

Monitor social media audience and respond to inquiries.

Assist in Special Projects

Support various departments with special projects, as assigned by management.

Participate in office-related initiatives and improvements.

Other duties as requested

Requirements

Qualifications:

Previous administrative experience is preferred.

Proficient on Mac, Google Calendar & Drive, and Microsoft suite required.

Adobe Illustrator and InDesign is required, with experience in Lightroom being a plus.

Excellent communication skills, both written and verbal.

Strong organizational skills and attention to detail.

Ability to multitask and prioritize tasks effectively.

Enthusiasm, creativity, and a willingness to learn and adapt.

Reliable and punctual with a positive attitude.

Minimum Required Qualifications:

A valid California driver’s license is required.

Light travel for work will be occasionally required.
