The Calder Foundation, a nonprofit institution dedicated to preserving the legacy of the artist Alexander Calder, is seeking to hire a full-time Office and Intellectual Property Administrator. This position is responsible for serving as first point of contact and managing the general operation of the office as well as assisting the Foundation’s Legal Department. This administrative position is an excellent opportunity for a responsible individual looking to contribute to and grow with our organization.
Office Administrator Responsibilities:
Manage the front door, receive and distribute mail, and welcome guests
Answer and redirect phone calls and emails, respond to general inquiries by phone or email
Order and maintain office supplies, purchase office groceries, run additional errands as needed
Schedule office maintenance and supervise external contractors as well as building staff
Reconcile basic accounting for office expenses
Assist staff with additional administrative or logistical duties, such as event preparation, as needed
Intellectual Property Administrator responsibilities:
Field licensing requests from all international rights agencies including but not limited to ARS, DACS, ADAGP, VEGAP, and The Copyright Agency
Create and maintain records for all licensing requests and process associated licensing payment reports
Maintain the Foundation’s merchandise archive
Identify infringements of the Foundation’s intellectual property
Maintain the Foundation’s legal records and files, conduct research in Foundation archives as necessary
Compose research memos and provide direct administrative assistance for the General Counsel
Assist with other miscellaneous tasks as directed by the Intellectual Property and Content Managers
Requirements:
A bachelor’s degree, or equivalent, and at least one year of administrative experience
Fluency in written and spoken French is desired
An interest in the Artist and the Foundation’s activities and Mission as well as an eagerness to learn about art law and intellectual property
Excellent attention to detail, motivated and eager to pitch in, and able to identify and solve problems with minimal supervision
Excellent communication, organizational, and time management skills
Working hours: M–F 10Âam–6pm, in-person
Starting salary is $40,000/yr with generous benefits package, including paid sick and vacation leave and optional 403(b) account.
Position is supervised by the Calder Foundation’s General Counsel.
