Operations Assistant
Artist Studio
Established and fast paced Artist Studio seeks a full time (30 hrs/week) Operations Assistant to directly support the studio’s Director and Manager of Operations in the production of out-of-studio projects and operations administration. Out-of-studio projects include public art, sculpture fabrication, performances, programs, and artwork editions. The ideal candidate possesses thorough logistics experience, careful attention to detail, passion for providing excellent work, and experience working in a team environment.
Other Position Information:
● 30 hours a week, full-time position (3 or 4 days a week Monday through Friday 9am - 7pm)
● Reports directly to Manager of Operations
● Compensation is commensurate with experience
● Position will work in-person, joining an existing staff of 19

Operations Assistant Position Responsibilities:
Coordinate and assist in producing out-of-studio projects such as but not limited to public art, sculpture/multimedia fabrication, performances, CD and DVD printing, 3D artwork editions with outside fabricators and vendors.
Schedule meetings with fabricators, designers, engineers, contractors, gallery liaisons, and various vendors
Work with Manager of Operations to produce project proposal packages
Assess and prioritize tasks on a daily basis
Prepare presentations and PDFs of project materials and research
Maintain production calendars, schedules, and budgets with Manager of Operations
Research fabrication, materials, and vendors for projects
Take meeting notes for all fabrication and project related meetings
Coordinate production details with vendors and fabricators
Liaise with external stakeholders and collaborators in a professional and diplomatic manner
Maintain digital archive of receipts for project related expenses
Share administrative and clerical support for administrative team, including, but not limited to, office organization and cleanliness, facilitating studio visits, filing and data entry, facilities maintenance, answering studio phone, and accepting deliveries
Run errands, as needed
BFA or BA from an accredited college/university or 2-3 years experience working in production for a multi-disciplinary visual artist
Strong work ethic, communication skills, and ability - to deliver results in a deadline-driven environment
Project coordination experience
Resourceful, solutions-oriented thinking
Proficiency in computer software, including Microsoft Office Suite, especially Powerpoint, Google Suite, Adobe Creative Suite, and project management software (our studio uses Asana).
Strong organizational skills and willingness to learn new subjects
Ability to carefully listen and follow instructions as well as work independently
Familiarity with the artworld environment and arts-focused workplace standards
A keen eye for detail and aesthetic congruity
Proficient in exercising discretion and confidentiality
Ability to lift 30+ lbs, unassisted, if necessary
Current Driver’s License and reliable transportation
Ability to legally work in the US
