Part-Time Exhibitions Assistant

The Exhibitions Assistant works with a small and busy curatorial department to realize projects with artists, lenders, and arts institutions to deliver exhibitions. The temporary, 9-month position reports to the Associate Curator.

Compensation:

Part-time position, minimum 15, maximum 20 hours per week; Pay $20/hour;

9 month agreement.

Responsibilities

Responsibilities

  • Provide general administrative support to the Associate Curator and Registrar.

  • This includes managing and following up on emails and phone correspondence, scheduling meetings (virtual and in person), preparing documents, organizing digital files, and other administrative tasks as needed.

  • Coordinate paperwork and logistics for artists, curators, and other guests. This includes preparing per diem requests, drafting travel itineraries, mailing gifts, organizing meals on-site, etc.

  • Create documents for a variety of projects including slide presentations, condition reports, checklists, composing letters and emails, and research documents.

  • Conduct ongoing research related to potential exhibitions and/or upcoming projects.

  • Support Great Rivers Biennial process by coordinating and organizing payments, itineraries, meals, accommodations, and flights.

  • Provide administrative support for two publication projects associated with the fall/winter 2023 season: securing image permissions, drafting author agreements, copyediting, and compiling catalog mailing lists.

  • Assist in regular condition checks of artworks and galleries.

  • Assist in conducting condition reports during exhibition installations including taking photographs and organizing documentation.

  • Conduct research for purchasing and sourcing materials for artists.

  • Coordinate hospitality for artists during installation and openings (on-site and virtual).

  • Communicate with artists and gallerists for contact lists, headshots, bios, press approved images, and other needs.

  • Create and maintain seasonal contact lists including invitation lists for exhibition openings.

  • Screen and respond to unsolicited mail and email requests.

  • Organize digital exhibitions archive.

  • Other duties as necessary.

Requirements

Qualifications

  • Bachelor’s Degree in Art History, Art Administration, Museum Studies, or Studio Art.

  • Ability to research and skilled at writing and editing.

  • Minimum of two years of experience working in an administrative capacity in an office setting, museum setting preferred.

  • Must be able to multitask.

  • Ability to work as part of a team and independently, remaining calm under pressure.

  • Excellent communication and accuracy in written and verbal communication.

  • Ability to understand and follow complex, detailed instructions.

  • Familiarity with contemporary art.

  • This position will require majority on-site hours, according to a regular weekly schedule. Possibility for some hybrid work hours.
