POSITION OVERVIEW

The Public Programs Coordinator assumes a critical administrative role in the Community Engagement Department to ensure the Phillips Collection’s public programs operate efficiently and is in alignment with the Phillips’s mission and strategic initiatives. The Public Programs Coordinator supports the Head of Public Programs in the development of programming that is adjacent to exhibitions and permanent collection. Public Programming at the Phillips Collection includes artist talks, panel discussion, after museum hours programming and more. The Public Programs Coordinator collaborates extensively with interdepartmental teams and external partners to support robust, and inclusive cross-disciplinary and public programs that engage and build new audiences.

Responsibilities

RESPONSIBILITIES

Essential functions may include, but are not limited to:

  • Coordinate public programs including administrative support, internal and external communications, speaker travel and accommodation, registration, partner and vendor logistics, and program budgets.

  • Assist Head of Public Programs in developing new program content and partnerships.

  • Assist Head of Public Programs in ensuring that all programs are initiated, executed, monitored, and delivered on-time, within scope and budget.

  • Maintain successful relationships with vendors, consultants, attendees, and program partners.

  • Assist Head of Public Programs in developing private programmatic opportunities for partners such as talks, conversation and other special events for partners.

  • Represent the museum at related community events and participate in other projects as needed.

  • Manages key relationships with AV colleagues and contractors for the delivery of hybrid programming.

  • Manages coordinating details for public programs, including gathering website information, drafting program descriptions, and collecting images for promotion.

  • Submit and manage the data collection process for all public programs.

  • Assist with in-person and virtual programs as they are running live, managing chats and communicating with speakers.

  • Assist with the live streaming of programs in person and virtually.

  • Manages programming calendar, working cross departmentally to ensure that all public programs include accurate up to date details.

  • Assist with contracts and pay requisites for participants or speakers for programs.

  • Assist in coordinating monthly programming meetings (departmental and interdepartmental), including calendaring, set‐up, AV, RSVP and liaising, note‐taking, and follow‐up tasks.

  • Provides other administrative support as needed.

Requirements

QUALIFICATIONS:

  • Bachelor’s degree or three to four years of administrative experience.

  • Art history and/or museum background, helpful.

  • Excellent organization skills, follow-through, and attention to detail.

  • Ability to establish priorities, meet deadlines, and handle multiple projects concurrently.

  • Administrative experience with excellent office skills, including data entry, database/spreadsheets.

  • Experience with digital tools and web-based software.

  • Ability to work effectively on teams as a collaborator as well as work on projects independently.

  • Proven customer service skills.

  • Demonstrated ability to create and maintain systems.

  • Available to work occasional evening and weekend hours Excellent customer service skills, including the ability to effectively communicate and engage with diverse audiences.
