A growing art advisory in New York seeks a Registrar with at least 5-years of experience. This position requires a candidate with a network of trusted vendors including art shippers, conservators, and framers, who has an understanding of best practices regarding packing and shipping of high value objects. Knowledge of international logistics, including import and export regulations, is a must. We are looking for an experienced project manager with strong administration and communication skills that will work closely with the sales department, which includes 3 directors. The registrar will be responsible for post-sale services including the invoicing of sales and advisory fees and the tracking of payments. Qualified candidates should be detail-oriented and highly organized along with the ability to multi-task, handle a high level of volume and complexity, with attention to time-sensitivity.

Responsibilities
  • Responsible for all art related movements domestically and internationally

  • Arrange the safe packing and transport of art, obtaining the best value pricing while keeping artwork safe in transit, including shipments to and from museums, galleries, clients and artists

  • Oversee installations, viewings, framing, conservation and photography

  • Create, manage and process all invoicing, payment, condition reports

  • Organize documents like shipping records, condition reports and installation instructions while updating the records in the in-house developed database

  • Maintain invoice and payment logs, review statements, as well as create and manage invoicing for all sales and advisory fees

Requirements
  • BA or BS required, preferably in an art field or extensive art experience.

  • Minimum of 5 years’ experience in the auction/fine-art shipper/gallery/museum environment.

  • Registrar experience preferred.

  • Knowledge of packing and shipping of art domestically and internationally including US and international import and export regulations such as CITES.

  • Knowledge including but not limited to strong fine-art supplier contacts, packing and crating, modes of transport, import and export compliance in the US and other countries.

  • Strong knowledge of Microsoft Office especially Excel.
