An international blue-chip gallery in New York is seeking an experienced registrar. They are looking for someone who has experience with global logistics of high-value objects. This would include knowledge of industry best practices and possession of a network of fine art supplier contacts. The successful candidate would be working with artist studios, museums, clients, and colleagues across the company on shipping activities related to exhibitions, art fairs, consignments, viewings, and sales. Qualified candidates should be detail-orientated and highly organized along with the ability to multi-task high level of volume and complex logistics in a time-sensitive manner. Must be a strong communicator with a professional demeanor who thrives in a fast-paced environment. There is some flexibility as to level, depending on experience, and an opportunity for growth within the organization.
*** Please note that in addition to the annual base salary this position does pay overtime, which is time and a half for anything worked over 40 hours a week.
Manage the safe packing and transport of artwork to and from artists, museums, galleries, clients, and storage facilities
Maintain and update in-house database and ensure all details are accurate
Manage all shipping records, condition reports, installation instructions and storage inventories
Work closely with art handlers and collaborate on viewings, handling of artwork, and keeping an open dialogue on the movement of artworks in and out of the gallery
Arrange for condition reports, framing and conservation of artworks
Manage on and offsite viewing requests from staff
Coordinate packing, transport, condition reports, supervision and insurance for art fairs, exhibitions, and loans
Coordinate delivery and installation of sold shipments while adhering to state tax laws and ensuring proper shipping documents are received
Communicate with various departments throughout the gallery worldwide to ensure that proper budgets are provided and met
Execute the logistics for world class exhibitions both in NY and globally
Review loans and consignment agreements
Obtain Certificates of Insurance and keeping compliance with insurance regulations
Knowledge including but not limited to packing and crating, modes of transport, import and export compliance in the US and globally; strong fine-art supplier contacts a plus
Knowledge of sales tax, import duty, VAT, and insurance
Experience managing and overseeing loans to and from Museums and other institutions
Experience coordinating and reading condition reports and organizing conservation when appropriate
Strong knowledge of best art handling practices preferred
Excellent communication skills are required to effectively interact with all levels of the organization
The ability to handle a high level of volume and complexity with speed
Detail orientation along with the ability to multitask is a must
Strong knowledge of Microsoft Office especially Excel
Minimum of 3 years’ experience shipping high value art in the auction/fine-art shipper/gallery/museum environment, preferred
BA or BS required, preferably in an art field or extensive art experience
