Scottsdale Museum of Contemporary Art is seeking a full-time coordinator to provide administrative and organizational support for SMoCA. Rate of pay $18/hour.

Responsibilities

ESSENTIAL FUNCTIONS: (Under direction of supervisor)

Coordinates and tracks administrative needs: EventPro resource input, draft professional services contracts (artists, guest curators, speakers, etc.), submit check requests and track payments, draft itineraries and make travel arrangements, event logistics assistance as needed, prepare reports and PowerPoint presentations, and other administrative needs as requested.

Schedules and organizes reoccurring meetings: weekly team meetings, bimonthly staff meetings, quarterly acquisitions review, and SMoCA Advisory Council meetings.

Tracks, updates, and communicates organizational calendars: exhibitions, installation, programming, PTO/WFH, etc.

Supports the organization of SMoCA Advisory Council and Committees: preparation of meeting room, catering needs and meeting follow-up, prepare and distribute approved agendas and materials, maintain committee directories and related databases, and attend meetings.

Acts as liaison between SMoCA team and Scottsdale Arts shared services to manage/submit requests (marketing, building use, tours, etc.) by facilitating internal communication, developing efficient SMoCA protocols, and collating content.

Submits and tracks marketing requests for general SMoCA editorial and design requests (i.e., newsletter, website and signage updates).

Works with SMoCA team and Marketing Department to develop and/or implement social media content.

Coordinates seasonal newsletter: collate content across departments (SMoCA, SALI, development), facilitate departmental editing/review process, proofread, and liaise with graphic designer.

Screens SMoCA admin calls and general email accounts (smoca@scottsdalearts.org and smocacuratorial@scottsdalearts.org) on a regular basis and facilitate communication with appropriate team members by circulating materials (i.e., community feedback, artwork donations, exhibition proposals, artist submissions) in a concise manner and assisting with timely responses.

Systematizes, organizes, and maintains electronic filing system on SharePoint.

Establishes, coordinates, and executes the mailing of catalogues and other SMoCA material as needed.

Order SMoCA office supplies.

Performs other duties as assigned.

Requirements

QUALIFICATIONS:

Education: Bachelor’s degree from a four-year college or university or equivalent years of experience

Experience: At least one year Administrative or Project Management Experience

Attributes: Knowledge of and appreciation for contemporary art; Exceptional organizational skills; Strong written and verbal communication; Ability to work in a team environment; Creativity and motivation; Ability to multi-task, working simultaneously on numerous short-term and long-range projects; Digital proficiency, including: Microsoft Office (esp. Outlook and Excel), image editing (Photoshop preferred), databases (Embark and/or EventPro a plus), website content, and social media (Facebook, Twitter, and Instagram preferred).

Work Environment: SMoCA is a fast paced and team focused environment. Work hours are generally standard work week with up to one evening and/or weekend hours per month as needed. Normal office environment with period need to lift up to 25 pounds.

Other requirements: Position requires driving for organization purposes; valid driver’s license and record appropriate to the insurance company regulation. When utilizing personal vehicle for organizational purposes the need for appropriate levels of insurance must be maintained.
