Blum & Poe Los Angeles is looking for a talented financial administrator who is excited to join the accounting department of an international art gallery. This role requires a good working knowledge of accounting principals and a well-rounded job history in accounting. We are looking for someone who is highly organized, reliable, and professional with good judgment. You will be joining a strong gallery staff that is dedicated to its artists and exhibitions.
Reports to: Director of Finance and Senior Accountant
ACCOUNTS PAYABLE
Setting up new vendors (collecting W-9s, COIs, and establishing payment methods)
Reviewing bills and obtaining internal staff approvals and allocations
Reporting payables to management for bi-weekly approval and payment
Maintaining vendor files with payment confirmations
ACCOUNTS RECEIVABLE
Entering all Shopify book store sales and reconciling to deposits
Liaising with Finance Coordinator to track costs related to non-art invoices and approving those invoice drafts
EXHIBITION BUDGETS
Creating and maintaining budget sheets for Los Angeles and New York exhibitions
Creating profit & loss reports at the close of each exhibition
PRODUCTION
Liaising with Finance Coordinator to reconcile Quickbooks and Artbase production costs quarterly
Tracking works and commissions in progress to update relevant parties
Follow up on unallocated production at year end
FINANCIAL REPORTING
Reconciling all bank accounts and online merchant services accounts ongoing
Prepare and issue 1099’s at year end
Manage donation acknowledgements ongoing and for year end
Proficiency with Quickbooks, Excel, and Google Sheets
At least 4 years of experience working as a full-cycle bookkeeper
Understanding of basic accounting principles and workflow
Experience working in an inventory-based industry desired but not required
Exceptional written and communication skills, attention to detail, and a strong work ethic
Strong time management skills with ability to work independently and manage varied deadlines in a fast-pace environment
