The Fine Arts Museums of San Francisco is seeking a Collection Database Administrator. Reporting to the Chief Registrar, the Collection Database Administrator will coordinate and implement the conversion and migration of data from a home-grown system to Gallery Systems’ The Museum System (TMS) and works with all aspects of museum collections data management. After the conversion is complete, the Collection Database Administrator will be responsible for the day-to-day management of the database including providing ongoing overall support, training and assisting users, developing customized reports, and implementing and maintaining protocols.

Responsibilities
  • Partnering with the IT department, administer the conversion and migration of existing collections data from FAMSF’s current system.

  • Daily management of database.

  • Develops database functionality by working with collections staff to establish cataloging and lexicon standards for each department.

  • Coordinate with colleagues in Photo Services to integrate with the Museum’s DAM (digital asset management system).

  • Interacts with data from outside institutions.

  • Customize TMS for use by various departments including creating department-specific reports and forms.

  • Implement and maintain protocols, input new data, update and correct existing data and ensure integrity and consistency of information in database.

  • Create staff and user profiles as needed; work with IT to assign security levels; update manuals for system administrators, users, and data-entry personnel.

  • Establish standards and protocols for data entry.

  • Provide support to collections users.

  • Assist with special projects as assigned.

Requirements
  • Education: Bachelor’s degree from an accredited university.

  • Work Experience: Minimum three years of client/server relational database systems experience or equivalent combination of education, training and experience. Previous experience in museum registration or collections management preferred; experience with TMS strongly preferred.

Skills and Abilities:

  • Knowledge of data management standards and best practices, collections management and registration practices.

  • Excellent computer skills and experience with relational database management programs for collections management.

  • Knowledge of basic conservation concerns/practices

  • Excellent written and verbal communication skills; ability to make accurate arithmetic calculations.

  • Extremely high level of accuracy and attention to detail; commitment to efficiency and effectiveness of systems and schedules.

  • Ability to work well under pressure and with conflicting demands.

  • Ability to efficiently and effectively work on a variety of projects concurrently, with attention to the goals and priorities of the department and the Museums.

  • Ability to establish and maintain effective working relations with colleagues and volunteers, and effectively represent the Museum to outside professionals.

Step 1 of the pay range is $32.26 per hour.

The Fine Arts Museums of San Francisco are the city’s largest public arts institutions and comprise the de Young and the Legion of Honor museums. The de Young, designed by Herzog & de Meuron and located in Golden Gate Park, showcases American art from the 17th through the 21st centuries, international contemporary art, textiles and costumes, and art from the Americas, the Pacific, and Africa. The Legion of Honor displays a collection of over 4,000 years of ancient and European art including Auguste Rodin’s The Thinker and houses the Achenbach Foundation for Graphic Arts in a Beaux-Arts style building overlooking Lincoln Park and the Golden Gate Bridge.
