Reporting to the Enrollment Operations and Systems Manager, the Enrollment Department Coordinator works closely with members of the enrollment team and is responsible for office processes related to new student recruitment, invoice processing, tour scheduling, and data entry. In addition, the Enrollment Department Coordinator is responsible for hiring, managing and providing professional development for Student Ambassadors working with the admissions team.

Responsibilities

The Enrollment Department Coordinator is the front line person for the Admissions department and SFAI and as such, they are expected to be on time, professional and organized, with a high level of attention to detail.

Responsible for staffing the SFAI main phone line and the admissions department and also greeting prospective students and families

Schedule prospective student tours and recruiter meetings for prospective students

Coordinate with the Housing Department regarding Residence Hall tours

Responsible for hiring, training, time approval and managing Student Ambassadors, ensuring they are professional, that their work is accurate and that they are well trained on tours.

Managing precise and consistent data entry processes with Student Ambassadors,

entering all initial information about prospective students captured on tours and at Fall travel events

Consistently monitor and respond to the admissions@sfai.edu inbox and phone

inquiries

Open mail and check in application materials

Manage outreach calendar and the shipment of SFAI materials to each recruiting event, ensuring on time and accurate delivery

At the direction of the VP of Enrollment + Marketing, act as the main point of contact for registering, coordinating payment and receiving event details for outreach events

Support Enrollment Team during Open Houses and onā€campus Admissions events

Submit payment for admissions invoices and guest stipends

Streamline office processes regarding welcoming of prospective students, creating prospective packets, and taking tuition deposits

Track the inventory of printed Admissions materials in office and in offā€site storage and notify the Enrollment Operations and Systems Manager when materials are low

Arrange orders for office supplies/ office needs

Perform other duties as assigned

Requirements

BFA or BA required

Outstanding verbal, writing and organizational skills. Must be able to communicate and interact effectively with students, faculty, staff and all constituencies involved in the recruitment of new students.

2ā€3 years experience in office management, customer service, or sales.

Flexibility and willingness to work evenings and weekends is required.

Ability to multiā€task in a fast paced work environment.

Knowledge of the regional and national arts community/culture is preferred.

The ability to work independently and as a team member.

Demonstrated commitment to the values of access, inclusion and diversity in higher education and the admission process.

Strong organizational skills.

Proficiency in computer skills including MS Word, Excel, databases, electronic

communication, the Internet and web based applications.

Excellent ability to interact with a diverse student and faculty body with a high degree of cultural competency and collegiality
