Nameless Sound, an internationally recognized non-profit that presents contemporary experimental music and organizes innovative music workshops for youth, seeks an Administrative Coordinator to support the organization’s work in areas of development (grants, membership, and fundraising), advertising and promotion for events and workshops, website maintenance, email marketing, concert production, data administration, and financial management. This will be a remote position, until it is safe again to work together in person.
Development:
Coordinate and implement solicitation mailings, process donations, generate membership renewals and acknowledgements
Process and update membership database (and website) based on new and lapsed donors
Coordinate supplemental materials for grant applications and reports
Grant reporting and grant editing
Grant writing as needed
Maintain calendar for grant application and report deadlines
Marketing/New Media:
Update website
Create and design e-blasts
Coordinate and create designs for flyers, posters, programs
Coordinate poster and flyer distribution
Reach out to press for event previews
Update arts events calendars
Concert Series:
Manage front of house for in-person concerts such as securing and overseeing volunteers, preparing signage and directions, transporting supplies and equipment, taking monies for ticket admissions, coordinating merchandise arrangements with artists, and setting up and cleaning up
Co-coordinate technical production and audiovisual materials for online events
Maintain events calendar for upcoming concerts, press outreach, cultural calendar updates, e-blasts, volunteer reach out
Board Support:
Organize and attend monthly Board meetings
Prepare meeting documents and take minutes
Maintain Board meeting calendar
Assist Board and Director with planning and presenting fundraising events
General Administrative:
Manage QuickBooks accounting
Maintain working cash flow statements
Produce budget reports
Finance management and tracking
Maintain calendar for monthly payroll deposits
Prepare required tax documentation for accountant on a quarterly and annual basis (forms 990, 1099, US Treasury deposits, etc.)
Maintain, organize, and file internal and archival materials
Requirements: Ideal candidate is a self-motivated individual with excellent computer and Internet skills. Candidate must also possess exceptional administrative and organizational abilities, with strong writing and communication skills, attention to detail, ability to work independently and be proactive, and the ability to multi-task. Experience working in arts administration or fundraising preferred. Experience in grant writing is a plus. Experience in or a passion for music, arts and community arts education is a plus. Fluency in Microsoft Office 365 (Word, Excel, and Mail Merge) and Adobe Cloud (InDesign, Photoshop, and Illustrator). Must have experience managing databases, and have an ability to meet multiple deadlines, and maintain multiple calendars, and manage and track financials. Must have experience with website editing and knowledge of basic code.
The Administrative Coordinator position is a salaried position, working approximately 32-40 hours/week. Salary is commensurate with experience.
