The Lucas Museum of Narrative Art is excited to announce a new opportunity within our People and Culture team. We are seeking an enthusiastic Applicant Tracking Administrator (ATA) who will play a pivotal role in orchestrating a seamless and efficient candidate management journey through our Applicant Tracking System (ATS) and Human Resource Information System (HRIS). The ideal candidate is passionate about Diversity, Equity, Inclusion, Accessibility and Belonging as drivers within the full cycle recruitment process. The ATA effectively supports our recruitment efforts, making the hiring process more efficient, organized, and compliant with relevant HR and data privacy regulations. Reporting to the Director of Talent Acquisition and Culture Partner, the ATA will be essential to our talent acquisition strategy by ensuring that we identify and engage with top-tier candidates effectively and efficiently. The ATA will also carry out additional responsibilities as assigned in support of the recruiting objectives of the museum.

This is a non-exempt, hourly, benefits-eligible role with an expected opening salary range of $23.50-$25.50 per hour. An attractive compensation package will be offered to the successful candidate(s).

Responsibilities
  • Configures and maintains ATS to align with recruitment needs

  • Supports hiring managers on effective ATS usage

  • Trouble shoots technical issues and provides user support

  • Utilizes the ATS to source and review resumes, identifying the most qualified candidates.

  • Collaborates with recruitment team and hiring managers to understand position requirements and priorities

  • Manages candidate workflow in the ATS, HRIS system from screening stage to completion of recruitment process

  • Assists with sourcing and screening resumes through HRIS systems as well as external hiring partnerships

  • Refers appropriate candidates to recruitment team and/or hiring manager

  • Maintains and organizes recruitment related files, records, and templates as assigned

  • Identifies opportunities for improving the candidate experience and scheduling efficiency

  • Updates candidate information, job descriptions and postings as assigned

  • Provides administrative and technical assistance in the implementation of a new ATS or HRIS system

  • Provides general departmental administrative and clerical support

  • Completes weekly and monthly recruitment metric reports

  • Supports a thorough and positive interviewing experience for candidates.

  • Follows up with candidates and hiring managers to obtain feedback

  • Ensures accurate and secure data management

  • Upholds compliance with data privacy regulations

Requirements
  • Bachelors degree or equivalent years of applicant tracking experience

  • Knowledge of ATS and HRIS systems to track a diverse pipeline of candidates through various stages of the recruitment and selection process

  • Previous experience at an arts, cultural, or educational institution a plus
