The Archivist/Registrar is an important collaborator, responsible for overseeing and executing all aspects of artwork cataloging, condition reporting and storage, physical and digital recordkeeping, shipping arrangements, consignments, and gallery and institutional loans in the Artist’s Los Angeles-based studio. The successful candidate will have expertise in project management, as well as experience with maintaining collections management database systems. Strong administrative skills to handle paperwork and meet deadlines are a must. Excellent verbal and written communication skills along with editorial and proofing experience preferred. Must be detail-oriented, flexible and able to work on several projects at once. This is a part-time position (3 days, 24 hours a week) located in downtown Los Angeles.
TASKS AND RESPONSIBILITIES:
Manage Artist’s archive in a comprehensive and up-to-date manner for Exhibitions, Projects, Talks, Publications and Press. Continue to establish standardized archival procedures within the Studio and oversee the long-term preservation of archival Studio materials.
Catalog new artwork and ensure that records are up-to-date and accurate
Manage the care and handling of artworks. Prepare condition reports. Coordinate necessary assessments and treatments with in-house staff and external conservators. Oversee collections storage.
Coordinate documentation of work, including photography and video. Responsible for photographing work in progress in advance of shipping and for archival purposes. Perform color-correction/retouching and oversee Studio’s Rights and Reproductions processes.
Responsible for the maintenance of the ArtLogic database system to track cataloging, including provenance, location, pricing, condition, images, auction lots and production costs, and ensure critical artwork information is captured and accurate. Generate reports, as needed.
Manage and maintain multiple Artist websites and ensure they are up-to-date and fully functional.
Draft, negotiate, maintain, and follow up on consignments, loan and gift agreements, and coordinate shipping, delivery and return of artworks.
Supervise shipments of artwork, including packing and preparation, and manage national and international transportation and customs procedures in collaboration with galleries and institutions.
Collaborate with relevant staff to record art production and installation specifics and draft art manuals and guides. Write and edit texts as requested by Artist.
Oversee management of Artist’s personal collection.
Support and collaborate closely with the Artist and Studio team members.
Maintain big-picture, long-term view of all projects and ensure day-to-day function is in sync with greater Studio goals.
Correspond with galleries, institutions, various office duties, and other duties as assigned.
SKILLS AND QUALIFICATIONS:
3+ years of registration experience in an artist’s studio, art museum, or fine art gallery
Knowledge of registrar and archival best practices
Strong knowledge of contemporary art
Understanding of and demonstrated ability to work with collections management database systems
Detail-oriented, organized, and confident with managing projects, with excellent follow through
Ability to be flexible in a teamwork, fast paced, deadline-driven environment
Strong writing, proofing and editing skills
Excellent interpersonal, communication and problem-solving skills
