1301PE seeks a Gallery Assistant to begin in May, 2022. The start date is somewhat negotiable. The Gallery Assistant is responsible for the overall flow and maintenance of the gallery files, inventory, and storage. They will work closely with the Director and Manager to ensure operations run smoothly, shipping deadlines are met, and 1301PE artist files are legible and up to date. The primary responsibilities include some general office administration, inventory and information management, exhibition support, and shipping. Of central importance in the position is clear, courteous and effective correspondence with artists, clients and vendors. With a multitude of responsibilities, candidates must have exceptional multitasking and organizational skills, have the ability to work independently and unguided in a fast-paced gallery environment. As it is a small team there is the opportunity to pursue varied aspects of the business based on need, interest and experience. Working hours are 10 am - 6 pm, Tuesday - Saturday, with additional support required around exhibitions and art fairs. Salary commensurate with experience.

Responsibilities

Primary responsibilities include:

  • General office administration, including:

o Opening and closing of the gallery and office space.

o Maintaining a clean and tidy exhibition space and office.

o General management of office, including juggling incoming and outgoing phone calls and emails in a bright and professional manner.

  • Serving as a resource for our clients and the public, answering questions about current exhibitions and the gallery’s programming at large.

  • Undertaking registration duties, including:

o Cataloguing and processing all incoming artworks, including accurate entry of all pertinent data and uploading of associated images.

o Condition checks

o Managing and maintaining the database style guide.

o Preparing consignment agreements.

o Compiling and organising all shipping-related paperwork.

  • Installation of gallery exhibitions and viewings.

  • Packing artworks for shipment and storage.

  • Collaborating with the Director and Manager on exhibition planning and execution.

  • Creating and managing guest lists for exhibitions/events.

  • Assisting with gallery openings, special events and meetings, such as the preparation of beverages, room sheets, catalogues etc.

  • Overseeing the gallery’s Social Media output.

  • Overseeing the upkeep of cloud-based file management.

  • Assisting with general management of artists and artist studio needs, communicating with external contacts, requests, press, image requests, general studio requests and events.

  • Monitoring all artists’ solo/group exhibitions, both domestic and international.

  • Additional office support as needed/requested.

Requirements

Qualifications:

  • Preferred, BA in Art History or related field

  • Preferred, experience in a commercial art gallery or artist studio, with

experience in the position of Registrar or Manager.

  • Required, artwork installation and packing experience

  • Required, a working vehicle and drivers license

  • Highly preferred, restaurant experience

  • Proficiency in Mac OS, Artbase, and Microsoft suite (Word, Excel,

PowerPoint).

  • Working knowledge of Squarespace

  • Self-motivated, pro-active and reliable; quick learner, ability to work

independently and goal-oriented; highly organized, strong attention to

detail.

  • Responsible, diplomatic and extremely discreet with confidential

information.

  • Understanding of Los Angeles or other major art scenes is desirable.
