The Assistant Director, Enrollment Analyst is involved in the planning and responsible for the execution, and analysis of the processes and systems for Undergraduate and Graduate Admissions and in collaboration with the other areas of Enrollment Management and Auxiliary Services (Financial Aid, Student Records, and Housing Operations) to innovate and maintain the systems of the division to meet the college’s enrollment, retention, housing, and graduation goals.
The Assistant Director, in collaboration with the Education Technology Services (ETS) team and other technology leads within the Enrollment Management & Auxiliary Services division and throughout the college, will collaborate with the leadership team to develop solutions that may involve process design, data and information architecture, and policy or procedural changes; creating specifications for systems to meet requirements; validating requirements against needs; designing details of automated systems; planning and executing unit integration and end-user acceptance testing. This position may develop training materials for system implementation and will work on cross-functional teams to solve complex business or systems issues.
This position is responsible for the management of all data processes which includes the internal and external reporting related to new student enrollment. The Assistant Director of Enrollment Management Operations works closely with the college’s Educational Technology team and third-party vendors to support the needs of the Enrollment Management division. The Assistant Director is part of the admission leadership team, made up of the Senior Director of Enrollment Management/Director of Undergraduate Admissions, the Director of Graduate Admissions, and the Associate Director of Undergraduate Admissions.

MAIN RESPONSIBILITIES:
Admissions Operations and Systems - 25%
Provide leadership and oversight of the day-to-day operations and systems (Workday Student and Salesforce/Pardot) of Undergraduate and Graduate Admissions.
Responsible for ensuring all data, information, reporting, and systems for Admissions are processed based on goals and objectives.
Managing - 10%
- Hires, trains and supervises Enrollment Management Data Assistant who is responsible for the processing of student recruitment data, student applications, and supporting application records for both undergraduate and graduate admissions.
Reporting - 15%
Responsible for reporting with regard to Admissions data, and assists area directors in reporting with regard to other departments in Enrollment Management.
Develops reports based on needs analysis, to provide understanding, and actionable data essential to recruiting and enrolling prospective students.
Prepares a wide variety of complex reports (e.g. Disbursement reports, Reject reports, Enrollment reports, annual statistical reports etc.) for the purpose of meeting compliance and regulatory requirements for TIV Aid.
Process Development/Project Management - 15%
Leads with the Directors of Admissions to envisions, researches, designs, develops, tests, and implements new business practices, both technical and non-technical, to improve efficiency, effectiveness, and service to both end-users and constituents.
Leverages existing technologies and recommends the acquisition and implementation of new technologies as necessary, to support division goals.
Working closely with the admissions leadership team, conducts business analysis and identifies business objectives and requirements. Develop manuals, process maps, and other documentation to create and maintain business standards
Translates end-users business requirements and business processes into specific and detailed software requirements
Develop process flow diagrams, functional specifications, use cases, testing plans, and project documentation to conform to team standards
Lead role in project management for implementation of both new and existing technologies in admissions.
Works with functional and technical teams to ensure optimum choices are made with regard to a project’s technical direction and implementation
System Auditing - 20%
Responsible for evaluating, monitoring, and maintaining all systems-based tools for admissions
Acts as liaison with campus-wide technical staff as well as technical contractors and vendors to ensure that processes are successfully planned, implemented and evaluated.
Responsible for the integrity of data imported and exported to and from the campus SIS and third-party systems utilized by Enrollment Management.
Working closely with SIS Applications Administrator and campus IT staff, to monitor and test upgrades to Workday Student module related to admissions.
Training - 5%
- Assist with training for new and existing staff in business practices and utilization of technology.
Other - 10%
Develops knowledge of enrollment procedure and office policy including CCA’s SIS, CRM, and online application systems.
Performs additional duties as required.
MINIMUM QUALIFICATIONS
Undergraduate degree required
Experience in college admissions, recruitment, student services, financial aid processing or an educational environment required
Strict attention to detail; strong analytical skills with demonstrated proficiency in data retrieval and report writing, knowledge and or experience with an Administrative Computing system (Workday, Datatel, Banner, PeopleSoft, etc.), or Customer Relationship Management system;
Strong written and verbal communication skills are a must; excellent organizational skills, project management skills, and ability to prioritize;
Must possess strong time management skills and demonstrated ability to multitask, must demonstrate good judgment and experience working with diverse groups in an educational or other non-profit organization; ability to work under pressure of competing deadlines; ability to work independently as well as in a team environment; flexible work schedule required which may require evening and weekend hours. Intermediate Excel skills preferred. Bachelor’s degree required.
