Assistant Shipping Coordinator, International- Gander & White Los Angeles Gander & White Los Angeles is a full-service fine arts logistics facility serving the local, domestic, and international private client, museum, gallery, auction house and interior design communities. We are a 90-year-old company with branches in three countries, including 5 in the USA. We seek an experienced, positive-thinking, and organized individual to join our team as an Assistant Shipping Coordinator in our International Shipping Department.

Primary Job Description: The primary responsibilities of the Assistant Shipping Coordinator role are the following: under the direction of the International Shipping Manager, directly interact with our clients through estimating, booking, managing, and invoicing high-value and complex fine art shipments. These primarily include both import and export shipments (a background in international art shipping is preferred), but also domestic ground and airfreight shipments, and occasional local handling and installation projects. The Assistant Shipping Coordinator works closely with the local trucking, crating and warehouse departments, our overseas branches in the UK and France, with our vast network of partner agents both international and domestic and with our regional branches in the USA. The Assistant Shipping Coordinator is expected to master all G+W systems, procedures, and policies. This position reports to the International Shipping Manager and works closely with all staff members in both the office and operations departments. The position is full-time and in-office as part of a collaborative team environment.

Salary commensurate with experience.

Responsibilities

PRIMARY RESPONSIBILITIES:

  • Client communications including but not limited to estimating, coordinating, and invoicing local, domestic, and international shipping projects under direction of department lead

  • Assist Department Lead in managing high-volume accounts, responsibilities including but not limited to client communication, estimating, booking, project managing and invoicing

  • Assist Department Lead in coordinating logistics of all shipments for specified customers and provide day to day customer service while correcting any discrepancies that may hinder shipments

  • Absorb and adhere to company credit, billing, procedural and other fiscal policies

  • Coordinate with operations departments in a clear and concise manner

  • Review all entries, client invoice packages and file record keeping prior to submitting to supervisor for payment and final review

  • Assist Department Lead in maintaining air waybill tracking, airfreight rates, TSA/IAC documentation

  • Adhere to all import customs and entry procedures and documentation

  • Adhere to all export and airfreight procedures and documentation

Requirements

● Experience working in domestic and international shipping at a fine art logistics company, art gallery, museum, freight forwarding company or similar environment preferable.

● Familiarity with fine art logistics, client communication, US import/export procedures

● Strong computer skills: Microsoft Office Suite, Adobe Creative Suite, G&W proprietary Eos System; AES; KSMS and working knowledge of database programs.

● Strong organizational and problem-solving skills.

● Thorough attention to detail.

● Strong writing and communication skills.

● Ability to work collaboratively as well as independently, interacting in a professional manner with co-workers, vendors and clients.

● Available to work occasional evenings and weekends.

● US Citizen or Legal Resident Alien with valid US work permit.
