Assistant to the Principals/Office Coordinator
Artists' Studio
We are looking for a candidate to fill the position of an Assistant to the Principals/Office Coordinator based in the studio of an artist couple living and working in Los Angeles. The position will be focused on assisting the principals and staff with the day-to-day requirements of a busy artist studio. We are looking for a candidate who is flexible and skilled at handling a range of responsibilities. Previous experience with administrative responsibilities in an art studio or similar is ideal.
Essential functions:
Coordinating principals’ and studio’s personal and business schedules, including scheduling doctor, kids’, vet appointments; organizing necessary information for appointments, updating iCal, and maintaining a synergistic overall schedule
Assisting Principals with day-to-days needs; including running errands, purchasing or researching items, arranging event tickets, reviewing and drafting emails
Assisting office staff with day-to-day needs; including creating PDFs, fact checking documents, Artbase reports, filing, and maintaining digital and physical organization
Skilled at a broad range of research, everything from researching background information on visitors and events to researching supplies and personal purchases
Troubleshooting equipment, setting up new devices like new iPhones or iPads, creating and tracking new accounts
Overseeing shipping, including scheduling Fedex, couriers, and Amazon returns
Organizing domestic and international travel; including preparing itineraries, booking airfare and accommodation, researching travel, and setting up international plans
General studio errands such as tracking and replenishing studio inventory
Answering phones and greeting visitors
Requirements:
Proficiency with a range of technology; including Apple products and Mac platforms. For example, iPhones, iPads, and Sonos
Proficiency in Microsoft Office (Word and Excel), Adobe Acrobat, Google docs, and iCal
Prior experience with Artbase, or similar art databases
Positive attitude, reliable and resourceful
Calm under pressure and skilled at multitasking
Extremely organized and detail oriented
Excellent time management skills and research abilities
Experience working in team oriented office environments, comfortable working with children and dogs
Valid driver’s license and car
College degree or equivalent experience is desired
5 days a week, Mon-Fri 10am - 4pm to start
