Reports To Director of Finance
David Kordansky Gallery seeks a highly motivated, extremely organized, detail-oriented, trustworthy, and collaborative individual to join our team as Bookkeeper. Reporting to the Director of Finance, the Bookkeeper is a critical, cross-departmental role, responsible for supporting a range of significant functions within the finance department. This position can either be a full-time or part-time role, Monday through Friday, and will require flexibility for additional hours based on the needs of the gallery. GENERAL
Perform regular audits of materials and supplies, noting opportunities/suggestions for cost reductions
Assist Director of Finance with report preparation and special projects, as needed
ACCOUNTING
Maintain and process accounts payable transactions
Prepare and enter Artist Statements
Ensure production is properly tracked, allocated and reimbursed
Enter confirmed payment information in ArtLogic
Review and vet invoices, bills, and payment requests for complete information
Review for satisfactory payment remittance, confirm against budget allocations when necessary
Follow-up with the relevant staff to confirm missing or unclear details
Manage employee mileage, phone, and travel reimbursements
Review and pay utility and other recurring bills/invoices
Enter and properly code and classify invoices across multiple databases
Prepare payment vouchers for review by the Director of Finance
Maintain detailed records of all payments and vendors
Verify financial data and clerical support, working with the relevant parties to resolve any issues
Know and understand the limits and criteria for W9 vendors
Know vendor terms and preferred payment methods
Monitor when contract terms expire, pricing changes, etc.
Ensure vendor database is accurate and up-to-date
Assist with procuring new vendors, ensuring competitive rates
Oversee the tracking of American Express transactions for each user
Assist with maintain master and user transaction list and reconciliations
Assist with investigating missing, open, and/or unaccounted transactions and/or receipts
Assist with coding and classifying transactions in QuickBooks when necessary
Oversee the scanning and filing of all credit card receipts
Process credit card payments, as directed
Assist with filing
SALES/INVOICES
- Track and enter client payments
QUALIFICATIONS:

We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:
At least 2-3 years’ professional experience in bookkeeping and/or accounting
Bachelor’s or four-year degree in a business-related field preferred
Understanding of basic accounting principles
Knowledge of contemporary art preferred
Knowledge of the accounts payable cycle
Proficiency in QuickBooks and Microsoft Excel
Exceptional attention to detail and organizational skills
Self-motivated, trustworthy, and responsible
Able to work successfully in a fast-paced, deadline-driven environment
Excellent communication and listening skills
Basic knowledge of databases such as ArtBase, FileMaker, and/or ArtLogic welcomed
Fluency in multiple languages welcomed

COMPENSATION & BENEFITS:
This is a full-time or part-time hourly position (overtime eligible) at 40 hours per week.
The pay scale for this position is $30 – $40 per hour.
A generous benefits package is offered based on full-time or part-time status.

This position is based in Los Angeles, CA.
The gallery greatly values the health & safety of its employees, and is following all COVID-19 city, county, and state business guidelines for the pandemic.
During the pandemic, approximately 40% of the work required of this position can be completed remotely, with weekly in-person visits required.
