Bookkeeper
Established Art Gallery
Bi-coastal, established Art Gallery, seeks a bookkeeper to join the team. The qualified candidate should have strong communication skills, sharp attention to detail, and at least three years of gallery or artist studio experience in a comparable role.
Manage all company bill and invoice needs.
Preparing weekly A/P and A/R reports for the sales team and Principal.
Processing of company payroll on a biweekly basis via ADP.
Tracking costs for business travel, exhibitions, events, and supplier costs.
Monitoring bank and credit card accounts and matching transactions.
Ensuring accurate vendor information, including collecting W-9s, banking information, addresses, and contact information.
Working with the sales team regarding artwork sales, invoices, tracking of payments in the database, collection of aged receivables, etc.
In tandem with the Principal and senior staff oversee and manage various insurance policies.
Working in collaboration with registrars, maintaining accurate sales-related expense records for artwork production, tracking expense codes, framing and shipping, etc.
Assisting with any potential audits.
Reviewing financial operations to improve efficiency.
Work with the existing CPA on all matters related to quarterly and annual tax preparations and filings.
Weekly meetings with the Principal and staff, as required.
BA in accounting, business administration, or other related fields.
Proficiency in database systems (ArtLogic, Filemaker, or similar), Excel, and Quickbooks required.
