Upper East Side Gallery

The Building Manager will provide daily and long-term oversight and maintenance of an art gallery on the Upper East Side. Key duties will include maintaining the daily appearance of the buildings, coordinating and supervising building maintenance related vendors and consultants. Superior organizational skills, the ability to carefully manage multiple projects, and a keen eye for detail are a must.

The role will be based in New York. Expected Start Date: Spring 2027.

Responsibilities

Facilities Maintenance & Repairs

  • Oversee routine and preventive maintenance of full townhouse art gallery, encompassing exhibition space and offices, managing tasks such as painting, patching, and minor electrical/plumbing work.

  • Maintain exterior upkeep, including window cleaning, graffiti removal, and sidewalk maintenance.

  • Coordinate waste management and recycling services in line with sustainability and regulatory standards.

Construction & Infrastructure Projects

  • Monitor tri-annual construction projects for temporary wall installations and demolition related to rotating exhibitions, working closely with the Gallery Manager and senior leadership to ensure timely and high-quality execution.

Vendor Management

  • Supervise third-party contractors for services such as HVAC, security, and janitorial work, managing vendor contracts, terms, and ensuring all required insurance documentation is up to date and properly filed.

Safety, Compliance & Emergency Planning

  • Support the development and execution of safety protocols, emergency procedures, and building access plans.

  • Ensure compliance with city regulations and building codes by coordinating all required inspections and maintenance.

Preventive Maintenance & Recordkeeping

  • Develop and maintain a comprehensive preventive maintenance program for all building systems, infrastructure, and equipment.

  • Keep meticulous records of all operational procedures, repairs, inspections, and vendor engagements.

Operations Support & Supplies

  • Oversee housekeeping operations and manage the inventory of building supplies.

  • Provide basic IT and telecom support in collaboration with the gallery’s internal IT team.

Access & Scheduling

  • Coordinate daily opening and closing of the facility, working in alignment with staff and programming needs under the guidance of the Gallery Manager and senior leadership.

Event & Exhibition Logistics

  • Collaborate with internal teams to ensure seamless setup and operations for gallery events, openings, and exhibition installations.
Requirements
  • Proven facilities management capability

  • Knowledge of HVAC, electrical, security systems and general building construction and maintenance

  • Excellent organizational skills and ability to multitask without losing attention to detail

  • Ability to communicate complex matters in a clear and understandable manner

  • Strong financial acumen

  • Driving license

  • Ability to work flexible hours, as needed for building repairs, events and emergencies

  • OSHA Certifications
