Responsible for cataloguing across collections in the museum’s collections database system (TMS) utilizing best practices in cataloguing works of art. Will focus on database maintenance, transcribing analog information about the museum’s collection from source documents into TMS, continuing ongoing digitization efforts for archive files and will assist with the migration of the collections database from current system to TMS in the summer of 2020.

General Notes

This position is intended to be an initial 5 year term with the possibility for renewal.

Responsibilities
  • Assist with migration of all collection data from current system (Embark) to TMS.

  • Assist with collection database maintenance including ensuring integrity and consistency of information in database, updating and correcting existing data and linking digital assets.

  • Assist with ongoing training of staff in TMS.

  • Assists with digitization of collections and exhibitions hard files and helps maintain consistency in file naming formats and file structure.

  • Filing and file maintenance in both collection and exhibition archival files.

  • Assist with special projects as assigned.

Requirements
  • Bachelor’s degree and one year experience at the Administrative Assistant level or high school graduation or GED and five years of clerical experience, including one year of experience at the Administrative Assistant level.

  • One year or more museum database experience.

  • Experience working with collection management and digital asset management systems.

  • Experience working in a museum setting and knowledge of museum operations, policies and standards.

  • Experience with museum-oriented thesauri.

  • Ability to assess priorities, work well under pressure, manage time efficiently, analyze and solve problems independently and if necessary collaboratively.

  • Professional written, verbal and interpersonal communication skills with staff members, trustees, lenders, donors and volunteers.

Relevant education and experience may be substituted as appropriate.

  • Experience working with TMS collection management and digital asset management system.

Salary Range

$35,000

Working Conditions

  • Must be able to sit for long periods of time. Work is primarily sedentary and requires extensive use of computer to review and edit data.

  • Must be able to lift 15 lbs.

  • May work around standard office equipment.

  • Repetitive use of keyboard at a workstation.
