This temporary position will support the collection, organization, analysis, and reporting of data in relation to evaluation of AEC programs, external consulting projects, and data-intensive special initiatives, such as artlook® SWPA―a free, publicly available online platform combining arts education data from schools, arts organizations, and teaching artists.
This position is temporary and estimated to run from September 16, 2024, through September 15, 2025.
Essential Functions and Accountabilities:
Data entry:
Facilitate transfer of information across database platforms using a combination of fully automated, semi-automated, and manual methods.
Maintain database records required for management of data-intensive special initiatives, such as artlook® SWPA.
Data collection:
Support external constituents in submitting data by specified deadlines and follow up via email, phone, Zoom, and in person as needed to obtain required information.
Track data submissions from external constituents and help resolve data collection challenges.
Data review:
Monitor database information to ensure it is complete, correct, and compliant with organizational guidelines and protocols.
Work individually or in collaboration with AEC staff and external constituents to address problems with database information.
Reporting:
Develop Salesforce database reports in response to organizational needs and staff questions.
Organize and format quantitative and qualitative evaluation data for analysis and reporting.
Use R or similar tools to create static data visualization graphics to be incorporated in program evaluation reports.
Use R or similar tools to create dynamic interactive data visualizations.
Use Quarto or similar platform to produce customized reports for a range of external constituents.
User support:
Provide technical support related to databases for AEC staff.
Provide individual technical support to external constituents, answering questions via email, phone, Zoom, and in person.
Communicate in a clear, friendly, professional style aligned with AEC’s mission, vision, and values―both verbally and in writing.
Adhere to AEC’s style guides and norms for communication.
Other duties as assigned.
Qualifications:
Education and Experience:
Bachelor’s degree in a data sciences or related field or equivalent experience with collecting, organizing, analyzing, and reporting data strongly required. At least one year of experience working as a data assistant on relevant projects and/or data systems preferred. Experience working with relational databases and/or customer relationship management platforms―such as Salesforce―preferred. Experience using R, Python, or similar toolkits to organize, analyze, and visualize data preferred.
Knowledge, Skills, and Abilities:
Exceptional organizational skills and attention to detail. Strong interpersonal, spoken, and written communication skills. Ability to exhibit professional decorum at all times and interact effectively with a variety of constituents, supporting AEC’s commitment to equity, diversity, and inclusion. Interest in supporting arts learning opportunities for young people. Ability to work independently and productively, including being self-directed, monitoring tasks, and meeting deadlines. Must be able to travel regionally.
Proficient skills in Microsoft Office Suite and cloud-based platforms (e.g., Google Drive, Office 365). Ability to learn new software platforms quickly. Ability to adhere to confidentiality and ethical standards for evaluation and data management. Ability to think analytically about data and processes, identifying potential problems and finding solutions.

Work is primarily sedentary in nature; no special demands are required.
