Oolite Arts is seeking a part-time, 25 hours per week, Gallery and Programs Coordinator. The ideal candidate is an energetic team player who is excited to play multiple roles within a growing not-for-profit arts organization. The Gallery and Programs Coordinator is a part-time position that supports the programs department by serving as the first point of contact for Oolite Arts gallery visitors; administrative support for the execution of Oolite Arts’ exhibitions, public programs, and off-site exhibitions programs.

Responsibilities

Gallery Attendant responsibilities include:

Manage day to day gallery operations

Oversee calendly gallery booking schedule

Track gallery attendance

Assist with coordinating walkthroughs and training

Exhibitions responsibilities include:

Drafting artist and artwork loan agreements

Organizing travel and accommodations for exhibiting artists/ guest curators (as needed)

Coordinating logistics for artwork shipping (as needed)

Drafting exhibition instructions

Submitting payment requests for artists

Public programs responsibilities include:

Drafting agreements and liability waivers

Creating Altru Forms for public programs

Submitting payment requests for participants

Mt. Sinai Medical Center and Walgreens program responsibilities include:

Drafting artist agreements

Submitting payment requests for artists

Gathering materials for communications to publish exhibitions on the website

Miscellaneous administrative responsibilities include:

Create and submit check requests to Accounting

Maintain programs A/V equipment and inventory list

Copy edit texts for marketing as needed

Requirements

EDUCATION and/or EXPERIENCE

One to three years of experience in an art museum, gallery, arts non-profit organization, or event planning

Proficiency in Google and Microsoft Suites required.

Knowledge of Customer Relationship Management system (Blackbaud Altru) a plus.

Knowledge of and interest in modern and contemporary art a plus.

KNOWLEDGE, SKILLS, and ABILITIES

Ability to integrate strategically the goals of this position with the broader goals of Oolite Arts

Strong critical thinking and technical skills

Calm and collected demeanor, willingness to support the team at every level

Must have strong written and verbal communication skills

Ability to juggle numerous projects with attention to both process and people

Ability to work independently, as well as collaboratively across departments in a team environment

Proven ability to work effectively on multiple projects

Detail oriented and exceptional organizational skills required

Time management skills required

Ability to work evenings, holidays, and weekends as scheduled

Excellence in English language (oral and written) required; preference for bilingual Spanish and/or Creole.

WORK ENVIRONMENT

The work environment characteristics described here are representative of those as employee encounters while performing the essential functions of this job. Work is usually done indoors in a climate-controlled environment and usually quiet. Occasionally, the work may entail interacting with Oolite Art’s visitors and in an outdoor environment.

COMPENSATION:

The Gallery and Programs Coordinator’s compensation level is commensurate with experience.
