PRIMARY RESPONSIBILITIES:
GENERAL HR ADMINISTRATION:
Maintain a basic understanding of state (NY and CA) and federal employment laws
Maintain a basic understanding of best practices for diversity, equity, inclusion, and accessibility policies in the workplace
Assist with Director, Human Resources’ and Managing Director’s work calendar, scheduling meetings and flagging conflicts or upcoming deadlines
Assist with annual review of updates to the Employee Handbook
Update and maintain compliance documents and resources as needed
Provide payroll support as needed, including assistance with payroll deduction audits
Help ensure that all employees have a comfortable, safe, and productive work environment
HIRING & PRE-EMPLOYMENT:
Draft and/or update internal job descriptions and external job posts
Post position advertisements on job boards; send email outreach to hiring partners
Review new applications; analyze candidate data
Organize and collate resumes, cover letters, and supporting materials for the Director, Human Resources and hiring committee to review
Schedule multiple rounds of interviews for the Director, Human Resources and/or hiring committee
Draft candidate summaries for internal reference
Schedule and/or conduct reference checks
EMPLOYEE LIFECYCLE:
Assist with providing a streamlined onboarding process for new hires
Assist with gallery culture orientation, scheduling regular check-ins
Coordinate and provide trainings as needed
Support benefits administration and enrollment for all eligible employees
Assist with the termination process for departing employees
EMPLOYEE EXPERIENCE, ENGAGEMENT, & EDUCATION:
Assist with the timesheet approval process for hourly employees
Assist with the planning and execution of internal staff engagement events
Coordinate mandatory Sexual Harassment Prevention training for employees
Support planning process for gallery internships and fellowships
Serve as a resource and mentor for entry-level employees and interns
PERFORMANCE REVIEWS:
Maintain spreadsheet and track deadlines for 90-Day and Annual Performance Reviews
Schedule review conversations and support follow up as needed (updating job descriptions, etc.)
Assist with, advise on, and implement updates to performance review documents
