museumpros Shipping & Logistics Department is looking for an individual who is passionate about art and international logistics to join our team. Working in collaboration with departmental team members, the Import/Export Coordinator will work to provide the highest quality of shipping and logistics services to museumpros’ diverse clientele.

Responsibilities

Responsibilities -

Assists in:

  • Responding to client quote requests in a timely manner using museumpros internal pricing or sourcing competitive estimates from trusted vendors

  • Plan and oversee shipment of artworks, antiques, and objet d’ art both domestically and internationally

  • Working with our clients to understand their specific requirements for handling, packing, shipping, installation, etc. and coordinating internal departments and 3rd party vendors so that these specifications are honoured at all stages of a shipment/project.

  • Manage multiple project files simultaneously

  • Staging outgoing shipments and receiving incoming shipments

  • Prepare and process all necessary shipping documents including international customs paperwork, permits, BOL’s, etc.

  • Oversee domestic and international customs clearances with our agents.

  • Enter and update shipping job data in company’s freight management system

  • Manage import, export and domestic shipment files as a precaution against any future audits

  • Invoice jobs including customs import fees, duty & taxes

  • Prioritize the safety of personnel and artworks, adhering to company operational guidelines at all times

  • May require occasional field work including site visits, packing and delivery of artworks in client’s homes, offices and galleries, etc.

  • May include occasional overtime

Requirements

Key Qualifications:

  • A minimum 2 years’ experience with international shipping or a combination of work experience and/or education in the art or logistics fields (arts management, registrars training etc)

  • Strong knowledge of art, art history and antiques is an asset

  • Knowledge of international shipping standards is an asset

  • Persistent, organized, team-minded, resourceful, detail-orientated, and effective professional communication with colleagues, artists, clients, and vendors is required at all times

  • Demonstrated history of effective time management and commitment to working in a team

  • An acute attention to detail is key, as is multi-tasking, prioritization, and efficiency with assigned tasks

  • Excellent written and verbal English communication skills, 2nd language is an asset

  • Excellent computer skills, proficient in Outlook, Word & Excel

  • Experience in art handling/wrapping techniques and storage best practices is an asset

  • Ability to lift heavy objects up to 50lbs

  • Experience operating warehouse equipment (forklifts, pallet jacks) is an asset

  • Valid G Class Driver’s License is required
