The Marketing Associate is responsible for a variety of tasks including project coordination, providing administrative support to a dynamic and highly motivated marketing department, and, in particular, to the work efforts of the marketing leads. A high degree of organization, accounting experience, project management, coordination, collaboration, and customer focus is required to carry out the responsibilities of this position.

Responsibilities
  • Maintain the upkeep of show wrap reports, settlements, actual vs. budget reports, and performance goal reports.

  • Coordination and follow-up with media outlets on agreements, affidavits, tear sheets, and contracts

  • Preparation and timely execution of invoicing payment packages and providing marketing liaise with finance team

  • Maintain upkeep of financial tracking documents.

  • Coordinates invoice requests, processing and provides updates to/from existing and potential vendors

  • Maintains “point person” status with all marketing vendors

  • Schedule programmatic meetings, update agendas, minutes, and provide administrative assistance for department

  • Show lead responsibilities for 30 events annually

  • Interface with the box office facilitating the following as needed: data requests, discount requests, pricing adjustments.

  • Set up daily deal offers

  • Pull comps and handle fulfillment and work as point person for charity comp requests.

  • Act as liaison between Audience Development Manager and Charity comp recipients to foster lasting relationships.

  • Perform backend Facebook reconciliation.

  • Performs other duties as directed.

Requirements

Education & Experience

  • Minimum of 2 years of experience working in Accounting, Marketing or related field preferred

  • Associates or Bachelor’s Degree in relevant field

  • Multi-cultural familiarity

Knowledge/Skills/Abilities:

  • Excellent written and verbal skills

  • Superb interpersonal skills

  • Extremely organized, great attention to detail and excellent follow-through skills

  • Administrative ability

  • Strong knowledge of Microsoft Office products – primarily Excel and PowerPoint

  • Ability to work in a fast-paced environment

  • Exemplary attention to detail and ability to multi-task with minimum supervision

  • Knowledge of project management software, database and list management tools

Environment/ Physical Demands/ Other Conditions:

  • While performing the duties of this position, the employee is frequently required to stop, reach, stand, walk, lift, pull, push, grasp, communicate, and use repetitive motions

  • While performing the duties of this position, the employee may frequently lift and or move 25-40 pounds of materials

  • The position requires the individual to meet multiple demands from multiple people and interact with the public and other staff

  • Some nights and weekends
