The Virginia Museum of Fine Arts (VMFA) has an exciting opportunity for a qualified candidate to join the museum as a Membership Coordinator.

The Membership Coordinator works under the leadership of the Director of Membership. This position manages the renewal program including card fulfillment, serves as the first point-of-contact for members, and manages general member communications.

Responsibilities

Administrative tasks:

Receive, process and distribute complimentary memberships for auction, marketing/promotions, and gifts.

Serve as point of contact for member issues/customer service, working with Visitor Services.

Membership callbacks, as well as payment and processing issues.

Work with volunteers (Council) on “Thank you” phone calls.

Assist Advancement Services with in-house membership card fulfillment when volume allows.

Budget tracking and Inventory maintenance:

Track membership operating/expense budget, coordinating with Acquisition Membership Coordinator and Advancement Services team.

Track inventory of membership collateral in-house and at mail-house, and reorder when necessary.

Oversee postage accounts and requests.

Track and process department invoices, working closing with the finance department to ensure timely payment.

Manage Retention Program:

Generate monthly renewal letters working with the Director’s office and Advancement Services ensuring timely mailings.

Develop and send monthly renewal eblasts.

Test frequency, source, messaging and promotions for increased productivity.

Develop/test campaigns to increase annual and monthly auto-renewal programs.

Work with Annual Giving Officer on upgrade appeals.

Analyze results of monthly renewal program and special promotions.

Manage overall Membership print and email correspondence:

Assist with special mailings.

Member Magazine coordination with Publications and Graphic Design teams.

Coordinate Classes and Programs reminder eblast with Education department and web manager.

Coordinate Member Preview postcards and eblasts with Communications and Publications Department.

All general member correspondence about benefits, programming or changes in the membership program.

Liaison with Visitor Services Department:

Check inventory in Visitor Services and order materials when needed.

Assist Visitor Services by answer membership phones and emails as needed.

Manage Digital Membership Card program:

Coordinate data output to Museum with Advancement Service Department.

Manage all correspondence to members.

Other duties as assigned by the Director of Membership

Requirements

Minimum Qualifications:

Strong time management and organizational skills.

Superb attention to detail.

Ability to manage multiple projects simultaneously.

Excellent writing and communication skills.

Computer skills to include proficiency in Word, Excel, PowerPoint and Google applications.

Preferred Qualifications:

Membership campaign experience (direct mail, email and social media).

Experience with Raiser’s Edge database.

Special Requirements:

The selected candidate must pass a criminal history background check.
