Operations Coordinator

We’re looking for someone organized, reliable, and excited to take ownership of a key role within our gallery team. If you’re detail-oriented, enjoy juggling multiple projects at once, and take pride in keeping things running smoothly behind the scenes, we’d love to meet you. This position goes beyond a traditional role, you’ll be involved in nearly every aspect of our operations and will play an important part as we grow.

We’re in a season of big shifts and we want someone who’s not just ready to rise to the occasion but excited by it. You’re the type who doesn’t flinch at a deadline and thrives on spinning multiple plates at once.

Responsibilities

Responsibilities:

  • Maintain and finesse our Artlogic database

  • Coordinate domestic and international shipping

  • Manage shipment receipts and releases

  • Prepare and invoice clients for sales

  • Organize and oversee installations

  • Coordinate artwork production with artists and vendors

  • Complete condition reports and track all movement with precision

  • Handle museum loans, consignment agreements, and related logistics

  • Manage on- and off-site storage and ensure all works are adequately insured

  • Liaise with artists, clients, printers, shippers, and framers

What We’re Looking For:

  • Energized, detail-obsessed, systems-minded, and calm under fire

  • Able to juggle complex projects while maintaining an orderly inbox and a sense of humor

  • Someone who gets it done—start to finish, big or small

  • Comfortable speaking to artists, collectors, and vendors alike with professionalism and clarity

  • Able to multi-task and stay cool in a high-pressure, fast-paced environment

  • A strong writer and communicator who can also think creatively and strategically

  • Passionate about contemporary art

  • 2+ years experience in a gallery, museum, artist studio, or fine art shipping company preferred

Requirements

Skills:

  • Mac fluent

  • Google Drive, Adobe Suite, Artlogic (or similar inventory system) and Microsoft Office

Salary is commensurate with experience. This role is Tuesday through Saturday, full time, onsite. Extended hours may be required for events.
