COMPANY RESPONSIBILITIES
The Operations Coordinator must be comfortable handling a wide variety of tasks in a small business environment, balancing urgency with accuracy to keep our systems up-to-date.
Project Systems Management
Input and maintain details on each of our Projects in our ERP software, Sage Intacct, from creating the Project to setting up Sales Orders and Client Invoices
Work with our Curatorial and Acquisitions teams to update Task progress in Intacct on a weekly basis
Maintain close adherence to our internal process guides
Support Accounts Receivable by following up with clients on overdue invoices and producing invoice statements
Produce Project Budget statements at regular intervals over the course of a Project
Art Inventory Systems Management
Input all artwork that has been approved for purchase into our central art tracking system, Airtable, for our Art Logistics Coordinator to use for status tracking
Develop Airtable reports
Serve as the expert on our Airtable system, monitor enhancements to the application, and continually propose improvements to our functionality and processes
Vendor Management
Maintain database of all vendors for our projects, from galleries and framers to art installers, with details on trade accounts and negotiated discounts
Research new vendors to add to our database
Ensure we have all compliance documentation for vendors, including W9 and insurance
Additional Acquisitions Support
Support of company-wide diversity, equity, and inclusion (DEI) initiatives through your work in Operations
Provide backup coverage for the Acquisitions team, from assistance with art purchasing to coordination of project installation as needed
Own additional administrative tasks as needed

Salary: $50k/year, plus company benefits.

SUMMARY
We are seeking an Operations Coordinator to record our project and art inventory transactions with unwavering accuracy. This is a new role in our company, taking responsibilities that were previously dispersed and bringing into one central operations role. The Operations Coordinator has ownership over all project transactions in our ERP software Sage Intacct, all art inventory data entry in our customized database software Airtable, maintenance of our vendor database, and additional art acquisition and installation tasks to support our team.
This position reports directly to our Senior Project Manager, Stephanie Moore. The Operations Coordinator can work remotely from any of the following metro areas: Denver, CO; Seattle, WA; Atlanta, GA; or Charlotte, NC. Our beautiful offices, a houseboat on Portage Bay in Seattle and an open and art-filled office in Denver, are available for workspace or meetings. Some travel is required for out-of-state installations and team meetings.
Advancement opportunities include Operations Manager or Project Manager. Please note this position does not have a career path to the Curatorial team.
SKILLS AND QUALIFICATIONS
3+ years of experience working with projects, data entry, systems, and teams.
Example of relevant experience include:
Accounting or Data Administration - very strong attention to accuracy in data entry
Business Analyst - experience building configurable technology solutions
Office Management - generalist experience with administration of running a small business
Art Registrar - experience documenting large quantities of artwork
No art knowledge or background is required for this role - we want our teams to have a diversity of industry experience.
