Waterhouse & Dodd, dealers in 20th Century and Contemporary Art and formed in 1987, and its sister company, Fine Art Brokers, a leading art advisory company, are seeking a Part-Time Assistant to start immediately. The companies are based in a small but well-appointed private dealing space on the Upper East Side near Madison Avenue. We also have a gallery in London.

The Part-Time Assistant’s role will be divided between general art gallery related admin (approx. 65%) and basic accounts related admin (approx. 35%). To be clear, this role is very much an admin role, but as with all work in art galleries there will be some more interesting work and involvement with art. The Assistant will work with the Manager in running the day to day aspects of the businesses, and less directly with the Director and the Consultant of Modern and Contemporary, and also with the owner of businesses, Ray Waterhouse.

The job will be for 12 – 15 hours per week, split over 3 days ideally, or 2 more full days. Remuneration will be fair and dependent on ability and experience. We are looking for someone who will stay with us for at least two years, given the amount of training involved.

Responsibilities

Responsibilities will include but not be limited to:

General admin:

  • Adding inventory and clients’ details to the database

  • Working with Manager on inventory management and logistics

  • Assisting with art fair preparation and gallery openings

  • Preparing tear-sheets and cataloguing

  • Creating sales invoices

  • Updating online portals such as artsy

Book-keeping:

  • Forwarding invoices to Jane in London

  • Adding stock numbers to invoices

  • Maintaining credit card spreadsheets

  • Working with the Manager to produce settlement statements for consignors and artists

  • Petty-cash details

Requirements

Candidates with some art gallery or auction house experience will have an advantage. The role entails adding details to databases and online platforms, organizing logistics, inventory management, and generally helping with the day to day running of the businesses.

Knowledge of book-keeping is not required as we have a qualified in-house accountant, Jane Benn, working for us in London, but organizational skills and attention to detail are definitely essential, as the successful candidate will send regular information to Jane.

The role could suit a graduate who has worked for two or three years, or a more experienced person who wants part-time work.

Vaccination for Covid is helpful for both colleagues and clients.
