A newly founded contemporary art gallery in Los Angeles seeks a Part-time Registrar for a permanent 3-day a week commitment. This placement will serve as the inaugural Registrar for the fledgling gallery and will be responsible for building out the capability for the organization. As such, the successful candidate will need to be familiar with the full range of registration duties for a commercial gallery including activities related to inventory management, artwork production, conservation, exhibitions, art fairs, loans and consignments, and post-sale services. As a gallery with a built-in international presence, they are looking for someone with substantial shipping experience, including local, national and, most importantly, global logistics. The Part-time Registrar will interact with artists, studio assistants, clients, vendors and other art industry professionals, and requires a high-level of discretion, professionalism, and poise. The successful candidate will be a strong communicator and relationship builder, capable of managing multiple priorities while maintaining meticulous attention to detail. A person with a minimum of 2-3 years of experience in an arts organization with a focus on registration, collections management, and/or art shipping, and a bachelor’s degree in museum studies, art history, photography, visual arts, or a similar field is required.
Execute all gallery shipping/logistics
Coordinate domestic and international transport for all exhibitions, artfairs, post-sale and in-house shipments
Generate, manage and organize all shipping documents, consignment and loan agreements
Obtain shipping and crating estimates to determine the best method of transport for domestic and international shipments according to value, speed, and fragility
Utilize shipping cost control strategies when making decisions about art transport
Liaise with galleries, clients, shipping agents, and vendors
Coordinate installation logistics for clients as needed
Organize and manage both on-site and off-site art storage
Generate condition reports and work with conservators as needed
Ensure all works are appropriately insured in conjunction with insurance broker
Monitor all inventory activity at gallery
Maintain artwork inventory and gallery database and ensure all details are accurate
Onsite presence during gallery exhibition installations will be required
2-3 years of experience in an arts organization with a focus on registration, collections management, and/or art shipping
A bachelor’s degree in museum studies, art history, photography, visual arts, or a similar field
Strong capability of working independently
Ability to maintain a rigorous schedule and meet tight deadlines
Exceptional multi-tasking skills with the ability to anticipate needs and manage multiple priorities
Meticulous attention to detail in a fast-paced environment
Excellent written and verbal communication skills, with the ability to collaborate with a variety of stakeholders
Familiarity with best packing and crating methods, and modes of transport
Possession of a strong fine-art supplier network
High level of experience with international shipping, customs laws, and import and export compliance in the US and globally
Knowledge of inventory management best practices
Strong knowledge of best art handling practices
This is a client facing position and will require someone who is able to provide white glove level service to all gallery clients
Familiarity with software and platforms including Artlogic and Google Suite/Microsoft Office preferred; someone comfortable with using and learning new technology required
