The Preparator reports directly to the Registrar. The Preparator works in a support role for other staff and should be prepared to assist them when asked. All questions, including requests for assistance, should be directed to the Registrar.
The ideal applicant should be able to multitask and think on their feet. Their ability to prioritize and flexibly rearrange their schedule according to the gallery’s needs will be key to their success; we are a small staff but our pace is quick.

Ultimately, after an initial period of training, the preparator will be able to assume basic registrarial duties such as (but not limited to): generating routine condition reports, shipping forms, updating locations in ArtBase, coordinating and managing incoming/outgoing shipments, creating a timeline for tasks in light of exhibition schedules (install/deinstall), coordinate and/or outsource client installations, anticipate deadlines for upcoming events/art fairs, fact check or research details of artworks (dimensions, registration, exhibition history, provenance) against database records, coordinate framing and conservation when needed, etc.
Preparator is responsible for the following tasks, which are to be met by the deadline assigned by the Registrar:
Prepares and packs artwork for shipping by deadline indicated on paperwork; works with Registrar to determine and make suggestions on how to appropriately pack works for transport.
Works with Registrar to prepare condition reports and photograph artwork as needed before departure of artwork.
Packs artwork for storage in the gallery or at the warehouse.
Reports artwork location changes to the Registrar daily via an art movement log.
Works flexibly with staff to move artwork within the gallery or between the gallery and the warehouse for and during specific viewings or client appointments.
Installs and deinstalls artwork for temporary exhibitions.
Prepares the gallery for exhibition: handles, labels, and stores packing materials; repairs (patch and paint) walls of the gallery; light exhibitions once installed. Maintains outdoor spaces to be neat, lit, and reports issues when necessary.
Maintains neatness and cleanliness of artwork on view in the gallery.
Maintains neatness, cleanliness, and organization of artwork in gallery storage areas, including alphabetization of racks. Puts artwork away after staff appointments. Similarly maintains prep and work areas, along with keeping track of shipping materials and supplies for the gallery.
Maintains neatness, cleanliness, and organization of work room and tools.
Performs and/or manages specific and assigned general gallery and warehouse building maintenance when requested.
Skills, Knowledge, and Abilities:
Experience with and general knowledge of art handling, packing and installation techniques.
Experience using hand and power tools.
Clean Driving record, will be required to drive a company van in certain circumstances.
Must be able to lift 75 lbs or more and be able to perform a variety of physical tasks involving lifting, bending, stooping, and moving furniture as well as other large items.
Has the “people” skills and situational awareness to work with a partner or larger crew in a seamless way, taking leadership and direction as needed to complete the task at hand.
College degree preferred.
Familiarity with basic art terminology and art history.
Attentive to surroundings, must be comfortable in a quick-paced work environment where schedules are likely to shift with needs of other staff.
Professional and discrete demeanor.
Experience with ArtBase or other art database system a plus.
Must be comfortable using Mac computers and have ability and willingness to learn additional software.
