The Youth Programs & Continuing Education (YPCE) division at California College of the Arts (CCA) offers year-round programming for adults and youth with a wide range of noncredit and credit programs in art, design, digital tools, architecture, and writing. Middle and high school students explore art and design in a college setting through our distinctive summer programming and weekend courses, including the for-credit summer Pre-College program, a Young Artist Studio Program (YASP), and the Summer Atelier program for ninth and tenth graders. CCA Extension offers adult classes that allow interested amateurs, working professionals, and practicing artists and designers to explore new disciplines, learn new mediums, and refresh their existing art and design skills. YPCE also administers the study abroad travel studios and seminars for CCA degree-seeking students in partnership with academic programs.

COMPENSATION & BENEFITS:

  • The range for this position is $27.00 - $28.79 per hour.

Responsibilities

MAIN RESPONSIBILITIES:

General Program Administration - 30%

  • Serve as a first point of contact for prospective students, parents, faculty, and the general public.

  • Obtain and maintain proficiency in all relevant college platforms and systems. Attend training and update skills as needed.

  • Understand and utilize academic affairs standard operating procedures while carrying out all work duties.

  • Participate in the development and revision of standard operating procedures and guidelines.

  • Liaise with other college offices and support services as necessary.

  • Utilize internal and external database systems. Run reports, enter and validate data; identify issues; propose potential solutions.

  • Maintain program files and archives. Maintain program assessments.

  • Attend program meetings and take notes.

  • Process purchase requisitions for instructional/studio materials, supplies, vendors, independent contractors, models, and speaker fees.

  • Other duties/special projects as assigned by the senior director.

Budget Management - 10%

  • Manage program and project budgets as assigned.

  • Assist with revenue projections and profit/loss accounting for programs, including program budget summaries.

  • Gather and prepare analytical information for the annual budget proposal process, in concert with the senior director.

Program Planning and Management - 40%

  • Lead or assist in logistical planning and implementation for virtual and in person courses and events in collaboration with colleagues.

  • Support program instructors with onsite program curriculum delivery and oversee event management for evening and weekend programs and classes at San Francisco campus locations.

  • Monitor course enrollments, communicates with instructors regarding course status, facilities, students, and course evaluations.

  • Coordinate COVID-19 data collection and management for on-campus verification.

  • Solve for recurrent course scheduling issues and conflicts (i.e. faculty assignments, rooms, days/times). Coordinate with college partners as needed.

  • Analyze and track student experience to inform course schedule planning and recruitment strategies.

  • Works with Facilities & Operations, Technology Services, and Studio Operations to coordinate course/program use of rooms across campus. Oversees course and program preparation with Studio Operations, Media Center, and Public Safety as required..

  • Compiles enrollment, demographic, and budget summaries for Extension (fall/spring/summer), YASP, and Summer Atelier.

  • Performs additional program duties as assigned by the senior director.

Communications and Marketing Support - 15%

  • Act as program point-of-contact for program inquiries, and support yield efforts for prospective students.

  • Maintain program and course pages on CCA Portal and liaise with Marketing and Communications for program pages on CCA.edu.

  • Maintain email lists, google groups (faculty, students, alumni, donors etc.) for respective programs.

  • Draft communications and produce marketing and promotional e-newsletters and e-blasts for programs.

  • Assist with program recruiting efforts and marketing strategies via web, print, and social media.

  • Collaborates with Admissions, Enrollment Management, and Marketing and Communications offices.

  • Lead with designers for program-based marketing and communications collateral.

  • Research competitive programming and recommend program marketing enhancements to the Senior Director.

  • Support Senior Director with external partnerships and media relationships as needed.

Supervision - 5%

  • Recruit, hire, train, and supervise work study students.

  • Provide administrative support and facilitate student and instructor on-boarding, approve timesheets, problem solve as needed with Financial Aid and Human Resources.

Requirements

MINIMUM QUALIFICATIONS:

  • Two years of administrative experience at an education or nonprofit organization, or other similar environment.

  • Bachelor’s degree.

  • Excellent written and verbal/interpersonal skills.

  • Excellent organizational and time management skills; competent with multi-tasking, prioritizing, and sustaining focus amidst frequent interruptions.

  • Ability to follow directions with minimum oversight and work independently as needed.

  • Ability to exercise sound judgment, resolve diverse problems, and handle sensitive matters with confidentiality.

  • Experience with customer service, cross-functional teamwork, and asynchronous collaboration.

  • Competence in MS Office Suite, Adobe Creative Suite, Google Apps, and data entry required.

Preferred:

  • Experience at cultural or educational art and design institutions, including two or more years work experience with youth.

  • Master’s degree preferred with preference for one of the areas represented at CCA.

  • Experience with a student information system (SIS), e.g. Colleague, Banner, Workday.

  • Experience with website editing and social media platforms in a business context.
