Hales Gallery seeks a Registrar / Art Handler who is organized, motivated and self-driven to join the New York office on a part time basis.

Duration/hours: Three days p/w (Mondays essential), 10am-6pm. Potential for more during busy periods

Salary: Commensurate with experience.

Job description:

Work closely with teams in New York and London on exhibitions, client services, art fairs, and general inventory projects. To install exhibitions with the support of gallery staff and/or freelance art handlers and maintain professional inventory, storage, and registration procedures.

Candidates must possess strong written and communication skills. An acute attention to detail is key, as is multi-tasking, prioritization, and efficiency with assigned tasks. Superior professionalism when communicating via email, phone, and in-person is essential. Experience with ‘Art Logic’ database systems is preferable though not essential.

Responsibilities

Art Handling:

  • Have previous experience in safely and professionally handling and installing art works in a variety of media.

  • Work alongside other gallery staff and/or freelance art handlers to install and deinstall gallery exhibitions and private onsite viewing room.

  • Oversee install/deinstall of art fair booths.

  • Enter clear and professional dialogues with gallery artists when required to do so.

  • Securely and professionally pack art works in the correct materials for shipping and storage.

  • Monitor and maintain required tools in an orderly and safe way.

  • Maintain an ordered calendar of art handling schedule requirements and prepare in advance as needed.

  • Hire freelance art handlers when required to do so.

  • Order new materials and equipment as required.

Registration:

  • Plan and oversee shipment of artworks both domestically and internationally.

  • Maintain up-to-date digital inventory on Art Logic database, ensuring available artwork is fully and accurately processed i.e. dimensions and inscriptions confirmed; frame labels applied; appropriate storage; verso images filed; packing assessed.

  • Produce and/or manage outgoing and incoming consignment agreements.

  • Produce receive and release notes.

  • Maintain orderly digital and hard-copy files.

  • Obtain condition reports.

  • Ensure artworks are correctly labelled.

  • Manage art work storage (onsite and with external companies).

  • Manage sold client shipping; obtain estimates and Certificates of Insurance; coordinate with clients for their needs; advise clients where necessary; relay all client information to Sales Team.

  • Secure competitive estimates for shipments and stay within budget.

  • Manage import, export, and sold shipment files in preparation for future audit.

  • Oversee domestic customs and artwork receipt documentation.
