California College of the Arts is at a dynamic time of unifying its two campuses into one expanded campus in San Francisco this Fall 2022. CCA has transformed during the pandemic into a residential campus with enough housing for nearly half of all CCA students. CCA launched Workday Student in the Fall 2019 semester; its student system–being the second school to go live–and provides our students with a 21st-century student system and experience. Finally, CCA enrollment and retention goals are to continue our steady and progressive recovery from the pandemic and strategically grow CCA to 2,000 through new student enrollment and focus on student retention and on-time graduation.

The Registrar leads, in partnership with the Vice President of Enrollment Management & Auxiliary Services, Academic Affairs, Student Affairs, and the other directors in Enrollment Management & Auxiliary Services, the registration, retention, and graduation initiatives of CCA. The Registrar leads the staff of the Student Records Office, including the Assistant Registrar, Student Records Coordinator II, and administrative staff (total staff of six). The Registrar is a member of the Enrollment Management & Auxiliary Services team that includes the Senior Director of Enrollment Management/Director of Undergraduate Admissions, Director of Graduate Admissions, Director of Financial Aid, Director of Auxiliary Services (that includes housing, dinner, parking, and transportation). That leadership team is responsible for meeting the enrollment, housing, dining, retention, and graduation goals of the College in alignment with the mission and values of CCA.

This position is responsible for the security, integrity, and accuracy of academic records and the coordination and implementation of academic policies and procedures. The Registrar is the point of contact on matters concerning FERPA and is the custodian of CCA’s student education records. Also, the Registrar provides leadership for registration, advising, and scheduling services in support of the academic programs of the College.

COMPENSATION & BENEFITS:

  • The range for this position is $102,000 - $110,139.00 annually
Responsibilities

Registration, Degree completion and Records Management - 30%

  • Create and execute the long-range vision, short and long-term strategic plans, and goals related to Enrollment Management objectives.

  • Lead the planning, organizing and managing activities related to course registration, transfer credit, grade processing, transcripts, academic progress reports, and awarding of diplomas in alignment with CCA goals and initiatives.

  • Oversee the delivery of comprehensive service-oriented programs to undergraduate, graduate and credential students.

  • In consultation with the VP for Enrollment Management, develop projected headcounts of graduate, undergraduate and non-degree students for the next academic year, closely monitoring any changes that might affect the proposed numbers.

  • Lead college-wide initiatives to enhance the student experience around registration and graduation processes to meet the projected goals for retention and graduation rates.

Academic Policy, Procedures, and Student Records Maintenance - 30%

  • Responsible for ensuring CCA’s compliance with academic, federal, state and accrediting agencies’ policies.

  • Responsible for accurate and thorough recording of academic records, in order to meet the data reporting standards expected at CCA.

  • Partner with Academic Affairs, Admissions, Financial Aid, Student Accounts and Student Affairs to ensure timely and accurate completion of registration and degree completion.

  • Lead and point person for several key college committees; Academic Review, Academic Policy, Transfer/Articulation, and participation in Curriculum and Retention, in addition to assigning Records representation on additional committees; Orientation, Policy Review, Commencement, and Degree Requirements.

  • Serve as the point of contact on all matters concerning FERPA as the custodian of CCA’s student academic records.

  • Respond to internal and external inquiries regarding student records data.

  • Provide campus leadership to assure the integrity of Workday Student and any additional software that houses students’ academic records.

Records Office Operations/Staffing/Budget - 35%

  • Oversee the Records Office budget by monitoring all expenses directly tied to Records

  • In consultation with the VP of Enrollment Management and Human Resources, recruit, appoint, direct, and promote the development of staff within a supportive working environment.

  • Maintain balanced working relationships with all direct reports through weekly individual meetings, weekly Associate/Assistant group meetings, and regular all-staff meetings.

  • Monitoring and supervising the offices in San Francisco in coordination with the Student Services Office and CCA’s service redesign.

Other - 5%

  • Performs additional duties as required.
Requirements

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree required, Master’s highly preferred; five to seven years of higher education, extensive experience in higher education (experience in college admissions or enrollment management preferred).

  • Experience working with graduate students or non-traditional students

  • Proven leadership in best practices and leading innovations in Enrollment Management, Student Records, technology, and student systems.

  • Proven leadership and supervisory ability and skills; demonstrated an ability to work with faculty, students, and staff.

  • Experience working in a dynamic, fast-paced environment with multiple competing goals and priorities

  • Strong strategic thinker with analytical skills using both qualitative and quantitative data and analysis

  • Strong written and verbal communication skills are a must

  • Demonstrate excellent organizational skills, project management skills, and ability to prioritize; must possess strong time management skills and demonstrated an ability to multitask

  • Must demonstrate good leadership, collaboration, and experience working with diverse groups in an educational or other non-profit organization

  • Ability to work independently as well as in a team environment

  • Flexible work schedule required which may require evening and weekend hours.

  • Proficient in systems and collaborative technology (Google Apps, Slack, etc.); advanced Excel or analytical skills preferred.
