Lehmann Maupin New York seeks an experienced, highly motivated, shipping professional to join our team. This is an opportunity to be key member of a dynamic and creative team, working directly with gallery leaders and a wide list of internationally renowned artists.

Reports to: Head Registrar, Director of Exhibitions

Responsibilities
  • Arranging and tracking all types of gallery shipments, from single sold works, to large, consolidated inventory shipments, in a timely, safe and budget conscious way, following the established protocols of the gallery

  • Prioritizing shipping activity as necessary in terms of deadlines and client/gallery needs

  • Scheduling transportations and installations for new inventory, special projects, and client viewings

  • Working closely with all gallery departments to ensure quick, efficient and safe art movement

  • Working closely with the Operations team to manage our extensive storage and database

  • Conducting thorough condition reports for artworks and update inventory system with relevant notes

  • Ensuring that the inventory system is updated accurately

  • Following through with collection and filing of all shipping documents related to artwork movements

  • Approving shipping-related invoices and working with finance department to ensure timely payment to vendors and recording of relevant information in database

  • Providing daily administrative support for the Operations Department and functioning as back-up for colleagues during vacations, sick leave, etc.

  • Performing all duties in accordance with the gallery’s best practices, procedures and protocols.

Requirements
  • A positive attitude that thrives wearing many hats

  • Being self-motivated with excellent time management skills

  • A minimum 3 years’ experience working for either a museum, fine art gallery, auction house, or fine art shipping agent

  • Mac proficiency

  • An understanding of industry best practices for the handling, packing, shipping and conservation -A working knowledge of NYS and U.S. tax policy and shipping requirements

  • Having excellent phone and email demeanors

  • Being highly organized, punctual, and detail-oriented

  • Having a strong ability to prioritize, meet deadlines, and create clear and organized schedules

  • Must be able to handle multiple tasks and projects in a fast-paced, high-pressure environment

  • Familiarity with worldwide art shipping and customs regulations

  • Having a proficiency with Microsoft Office and Google Drive

  • Being financially oriented with the ability to generate and adhere to budgets

  • Possessing good interpersonal skills, being able to work effectively with and cultivate great relations with vendors, clients, and co-workers
