David Kordansky Gallery seeks a highly motivated, extremely organized, and collaborative individual to join our team as Sales Associate to the Partner / Senior Director. The Sales Associate to the Partner / Senior Director is responsible for supporting all business administrative needs for the Partner / Senior Director as it pertains to the management of the gallery as well as of the sales team. As the Partner / Senior Director is one of the most active members of the sales team, this includes providing a high volume of sales support and managing complex travel and scheduling arrangements alongside the Owner’s Administrative Assistant and Executive and Sales Associate. This also includes serving as a representative of the Partner / Senior Director to high-level external VIP contacts as well as to the gallery’s Department Heads. The gallery is a fast-paced environment requiring the Sales Associate to the Partner / Senior Director to have a proactive and assertive demeanor and experience in managing, delegating, and collaborating. The Sales Associate to the Partner / Senior Director will regularly use discretion and independent judgement when performing the duties of this position. This position is a full-time role, Tuesday-Saturday, and will require flexibility for additional hours during evenings and weekends based on the needs of the business.

PRIMARY RESPONSIBILITIES:

SALES:

  • Primary administrative sales assistant support to the Partner / Senior Director on a high volume of client offers and sales, working in close collaboration with all sales team support positions

  • Initiate sales correspondence and other written materials on behalf of the Partner / Senior Director and execute with a high level of attention to detail and tone

  • Maintain an intermediate knowledge of the Gallery’s clients, collectors, curators, and artists as well as contemporary art news, openings, and events

  • Serve as the first point of contact on behalf of the Partner / Senior Director for clients, including providing hospitality, scheduling appointments, and giving exhibition walk-throughs

  • Create sales PDFs and send sales offers to clients on behalf of the Partner / Senior Director

  • Track sales and send invoice requests to Finance on behalf of the Partner / Senior Director

  • Contact clients on behalf of Partner / Senior Director to inform them of upcoming exhibitions / fairs; to share new available work; and to share high-level press and/or outside exhibition installation images

  • Discreetly manage confidential information

  • Research and propose consignment terms for incoming secondary material

  • In consultation with, and at the discretion of the Partner / Senior Director and Director, work to build and maintain independent client relationship

  • Update database records and other spreadsheets as necessary in the sales process for the Partner / Senior Director

  • Follow and stay current on all sale, hold, and pricing information updates and double-check all correspondence and database entries for accuracy before sharing information

AUCTIONS:

  • Share auction updates on gallery artists with Partner / Senior Director provided by the Associate Director, Sales (NY) and Sales Associate (NY)
Requirements

ADMINISTRATIVE:

  • Manage and schedule the Partner / Senior Director’s calendar, which involves balancing competing requests and multiple scheduling priorities, ensuring all information is accurate and maintaining confidentiality and discretion as needed

  • Prepare daily agendas, sending appointment reminders, and tracking important deadlines

  • Manage all travel bookings and hospitality reservations for the Partner / Senior Director (including flights, hotels, drivers, etc.)

  • Work closely with the Owner’s Administrative Assistant and Executive and Sales Associate, as well as other internal staff, to avoid scheduling conflicts; ensure meetings and travel with the Partner / Senior Director and Owner are scheduled promptly and with accuracy

  • Create and maintain art fair itineraries for the sales team

  • Participate in the sales PDF review process and other sales team administrative duties

  • Proactively prioritize, troubleshoot, and anticipate issues that could arise, and resolve them with Department Heads and other assistants

  • Maintain an awareness of the workflow of every department, the daily schedules of the staff, and current projects, staying informed so that the Partner / Senior Director can be updated regularly

  • Compile, organize, and share staff inquiries for information, proposals, and decisions requested of the Partner / Senior Director, and exercise independent judgement related to such information

  • Recommend solutions to operational and administrative problems; resolve routine and complex inquiries

  • Oversee general office administration for the Partner / Senior Director, including sorting mail, answering phones, shipping packages, managing technology, and troubleshooting

  • Compile receipts and necessary documentation for the Partner / Senior Director’s business and travel expenses; regularly track costs for Partner / Senior Director’s business expenditures

  • Run errands for the Partner / Senior Director, including coordinating lunches and making purchases

  • Support the Partner / Senior Director by attending all Gallery openings and occasional special events

QUALIFICATIONS:

Our ideal candidate is highly detail-oriented and creative with exceptional organizational skills, an excellent verbal and written communicator, and possesses the ability to work successfully in a fast-paced, deadline-driven environment. We seek candidates who are extremely self-motivated, responsible, and efficient, who also hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:

  • Knowledge of contemporary art, art institutions, and the art market required

  • Interest in sales required; experience in sales strongly preferred

  • At least three to four (3-4) years of professional experience in a contemporary art gallery, auction house, or related institution required

  • BA in Art History, Business, or related field preferred, but consideration is given to candidates with related professional experience

  • Highly detail-oriented and precise, with strong writing and editing abilities

  • Experience in drafting and tracking invoices and payments

  • High level of emotional intelligence, including sensitivity, discretion, and sound judgment, with a composed, proactive, and assertive demeanor

  • Skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint)

  • Skills in the Adobe Creative Suite (Acrobat, InDesign) welcomed

  • Basic knowledge of databases such as Artlogic (or similar) preferred

  • Basic knowledge of sales platforms such as Arternal (or similar) preferred

  • Fluency in multiple languages welcomed

  • Access to reliable transportation for in-town errands

COMPENSATION & BENEFITS:

  • This is a full-time hourly position (overtime eligible)

  • The pay scale for this position is $32 – $42 per hour.
