Job Description Summary
Under direct supervision of the Assistant Purchasing Manager, the Shipping & Receiving Clerk’s responsibility is to organize the storage, distribution, and cataloging of physical communications, goods, and services needed for the daily operation of the CCA Campuses. Attention to detail and accuracy are the top priority. All physical communications should be handled with FERPA and Confidentiality standards. Individual responsibilities are the timely and accurate distribution and dispatching of incoming, outgoing, and departmental mail; for handling and processing all mail. This includes sorting incoming mail, interdepartmental mail, notices, and memorandums for accurate and timely distribution. The Shipping & Receiving Clerk will also process outgoing mail and pickup departmental mail, operate the postage meter and other routine office equipment. Additional responsibilities of Goods and Services receiving include receiving and signing for deliveries, ensuring deliveries match the company purchase order, recording all received items in Workday, communicating with vendors regarding missing or damaged goods.
MAIN RESPONSIBILITIES:
Mail & Courier Services - 90% of time
Daily receive all incoming mail, interdepartmental mail, notices, and memoranda; sorts according to appropriate destination; distributes to all departments
Daily sort and weigh all outgoing mail; affixes appropriate postage using postage meter; transports to mail Post Office
Weigh for mailing; processes with outgoing mail
Receive mail from the post office and from our courier
Distribute mail to mail boxes, or to the end user
Prepare courier bags and receives courier bags
Business Office - 5% of time
Reconcile discrepancies with the Business Office
Contact end users and figure out why materials are not received in Workday
Inventory Management - 5% of time
Maintain monthly inventory sheets and provide them to the Business Office every month
Tag Fixed Assets and complete Fixed Asset form for Business Office
Update receiving system in computer
Check packing slips to ensure accurate delivery
Report discrepancies
Yearly inventory
Process outgoing mail using the in-house mail machine daily
Keep the shipping/receiving area clean
MINIMUM QUALIFICATIONS
Knowledge of proper machine operation on a variety of related machines.
Knowledge of department locations and organizational structure.
Knowledge of current postage rates and regulations.
Ability to accurately sort and distribute large amounts of mail.
Ability to communicate effectively in oral situations.
Ability to read and understand written and oral instructions.
Ability to organize tasks to ensure timely completion of all projects.
Familiarity with and ability to apply technological innovations to Business office operations with strong computer skills in MS Word and Excel.
Workday experience preferred.

COMPENSATION & BENEFITS
The budget for this position is $22.51 per hour.
CCA offers a comprehensive benefits package, including the choice of five medical plans, generous holiday, sick & vacation time, a retirement match and tuition remission. CCA covers an average of 91% of the medical plan cost for the employee only and an average of 82% for employees with dependents. POSITION DETAILS:
CCA considers a full-time work week to be 37.5 hours per week.
Schedule: Monday - Friday 8:30am - 4:30pm
This position is covered under the staff union collective bargaining agreement and will be required to contribute to union dues/agency fees.
