Jeffrey Deitch is recruiting an experienced full-time shipping registrar.
Shipping
Prepare for both inbound and outbound property, especially in situations with last-minute scheduling and tight timelines
Have relationships with contacts at reliable and safe professional fine art shipping companies in both Los Angeles, New York, and internationally
Ability to manage multiple, time sensitive shipments and quotes within the same time period
Ability to respond authoritatively on all matters of domestic and international shipping including laws regarding taxation
Manage international transportation and customs procedures for artworks shipped abroad
Follow up on the location of works, communicating with shippers, art handlers, suppliers, storage handlers, insurers, and customs officers
Coordinate the entire process of a fine art shipment from beginning to end: gathering estimates for approval, booking the shipment, coordinating packing logistics, liaising with clients/artists for pick up/delivery scheduling, coordinating shipping reimbursement invoices, follow up on delivery to ensure safe delivery of work
Ability to follow an explicit order of operations for release of artworks
Book air freight, ocean freight and long haul trucking
Liaise with collectors and institutions in a professional manner on matters relating to post-sale shipping coordination, installation/de-installation, and packing recommendations for both domestic and international shipments.
Collaborate with staff on all aspects of the general gallery operations
Database Management
Oversee release and receipt paperwork, database management, and artwork labeling
Ensure artwork details are entered correctly and maintained diligently in Artbase
Manage consignment and loan agreement in system alongside Directors
Organize and file incoming and outgoing forms
Work with Operations Director to generate in-house condition reports and perform artwork inspections
Should have at least 3 years of shipping registrar experience in an international commercial art gallery, museum, auction house or art shipping company. Experience at a contemporary art gallery a plus.
Meticulous organizational skills
Proactive and flexible with changing timelines and budgets
Strong, positive interpersonal and communication skills (written and verbal) with the ability to work professionally, responsibly, and discreetly with clients and all areas within the business
Ability to manage and organize pre-exhibition and post-exhibition shipping spreadsheets via Google Spreadsheets
Ability to work as a team player in a fast-paced, high-volume environment
Knowledge of Artbase or equivalent art database system required
Candidates must have a knowledge of industry best practices
The role requires availability Monday through Friday from 10AM to 6PM. Additional hours may be required during busy seasons. The position would start immediately.
